Job Summary:

Performs a variety of duties including psychiatric office secretarial tasks and administrative responsibilities. Requires knowledge of customer service, insurances, co-pays, deductibles, and practice policies to ensure patient satisfaction and positive outcomes. Also assists with Certified Medical Assistant duties such as taking vital signs, administering injections, and providing Transcranial Magnetic Stimulation (TMS) treatments.

Role and Responsibilities:

• Greet visitors promptly, assess their needs, and direct them accordingly.
• Collect patient information, including insurance details, co-payments, and contact information for electronic medical records.
• Verify insurance eligibility and contact patients regarding inactive insurance.
• Answer and redirect phone calls, respond to voicemails promptly.
• Maintain office inventory, ensuring adequate medical supplies and equipment.
• Assist medical staff with correspondence, including emails and physical letters.
• Handle patient payments, post transactions, and provide receipts.
• Schedule appointments, answer general inquiries, and obtain necessary authorizations for care.
• Maintain the master calendar for medical staff.
• Complete required paperwork and documentation.
• Ensure patients sign consent forms for TMS, verify insurance authorizations, and administer TMS sessions according to protocols.
• Assist providers with cortical mappings, measurements, and cap placements.
• Explain TMS procedures, discuss potential effects, and answer patient questions.
