About the Role

The Certified Medical Assistant is responsible for guiding patients through every step of their front-office experience, from initial greeting through check-in and appointment scheduling. This role manages patient intake, verifies insurance and identification documents, updates demographics and HIPAA/financial forms, and accurately processes payments while clearly explaining financial obligations. The coordinator maintains organized paper and electronic medical records, schedules and confirms appointments and follow-up visits according to specialty guidelines, and serves as a key communication point by managing phone calls and office emails. The role also includes performing ECGs and phlebotomy as ordered by the provider. Additional responsibilities include maintaining a tidy waiting area, assisting with chaperone duties during exams, and supporting the office team with clerical tasks to keep patient care and daily operations running smoothly.

Responsibilities:
  • Greets visitors, physicians, and patients in a friendly professional manner and directs them appropriately.
  • Monitors and maintains proper daily practice flow to ensure an efficient patient experience.
  • Informs patients of delay in physician schedules.
  • Assists the patient with the completion of the medical intake, uploads a copy of their insurance information and government-issued ID card.
  • Responsible for patient check-in.
  • Updates patient information including demographics, insurance, HIPAA forms and financial forms.
  • Accurately recording and collecting any payment and clearly explaining the financial obligations to the patient.
  • Creates and assembles both the paper and electronic medical record chart to store and upload all documents of the patient, ensuring that information is inputted and scanned properly.
  • Promptly answers and responds to telephone and office emails, screens telephone callers in a pleasant and professional manner; handles calls; takes messages or directs callers to the appropriate person or area.
  • Schedules appointments and follow up visits as needed according to specialty guidelines.
  • Confirms future appointments as needed.
  • Performs ECGs and phlebotomy/blood draws as ordered by the provider, following proper specimen labeling and handling protocols.
  • Maintain the waiting areas in a neat and tidy condition.
  • Performs any clerical duty and task that is requested of his or her assistant/manager to improve provider productivity, patient care, and efficient office flow.
  • Other duties as required.
