PRN Night Shift Staffing Coordinator

Primary Function/General Purpose of Position

The Staffing Coordinator handles scheduling, staffing, and timekeeping responsibilities within designated work areas. This includes creating and editing schedules, filling open shifts, managing timecards, and mobilizing staff for urgent needs less than 24 hours before shifts. The role requires using an electronic staffing system and strong communication with stakeholders and leaders.

Essential Job Functions

  1. Create and modify nursing department schedules in the electronic system, following hospital policies and unit-specific roles.
  2. Prepare accurate daily or shift work schedules based on forecasted needs, collaborating with nurse managers.
  3. Approve or deny schedule requests based on skill mix and unit needs, communicating with managers as needed.
  4. Balance and publish schedules at the end of self-scheduling, ensuring skill coverage and posting incentive shifts per policy.
  5. Adjust schedules by acquiring additional staff or reducing scheduled staff, contacting available staff to meet care requirements.
  6. Within 24 hours of a shift, determine staffing needs and communicate arrangements to units.
  7. Manage unplanned shift vacancies and sick calls, leveraging technology to optimize staffing with minimal fiscal impact.
  8. Maintain daily schedules in the electronic system and communicate urgent staffing needs promptly.
  9. Approve or deny timecard requests, communicating with managers as appropriate.
  10. Prepare and review timecards for manager approval, addressing exceptions.
  11. Maintain staffing records, files, and reports, distributing them to leaders as needed.
  12. Assist with agency resource allocation and other duties as assigned.

Associates Degree in Business, Data Management, or a related field (preferred)

Work Experience

1-2 years’ experience with staffing/scheduling software (required); healthcare setting experience (preferred)
