Care Coordinator - Scheduling Operator (Healthcare)

Doctors of Physical Therapy is seeking a full-time Care Coordinator - Operator. This role involves scheduling and rescheduling patient appointments, maintaining patient records, and communicating with patients regarding their appointments. The ideal candidate should be well-organized, have excellent communication skills, and the ability to multitask. We are looking for someone interested in building a career with our growing Physical Therapy company!
Hours for this position are Monday through Thursday, 10:00 am to 7:00 pm.
Duties Include:
- Schedule new patients as per MD, clinic/therapist, or payer requirements.
- Properly conduct new patient intake with all required information.
- Document scheduling issues and involve the appropriate team members.
- Complete new patient communication and templates.
- Cancel, reschedule, or schedule existing patients as routed through the Care Coordinators line or during call forwarding, per requirements.
- Document scheduling issues and patient concerns, involving the appropriate team members.
- Document cancellations in appointment notes.
- Enter new referrals into the system and document call attempts in patient notes.
- Follow up on new patient referrals promptly, as outlined by the Lead Centralized Scheduler.
- Respond to faxed referrals in a timely manner.
- Monitor emails, including those from the DPT website, for appointment requests.
- Transfer calls to the appropriate staff or department.
- Take phone messages when needed, especially when staff are not in the office, and deliver them promptly.
- Communicate with relevant departments regarding VIP referrals or regional scheduling trends.
- Run new patient reports or call metrics upon management requests, especially when the Lead Centralized Scheduler is unavailable.
- Back up the front desk/scheduler for remote locations, new MDs, or new acquisitions.
- Process payments over the phone for active patients.
- Coordinate with the Lead Centralized Scheduler on call volume, call quality, patient feedback, and other daily operational items.
- Perform additional responsibilities as assigned by the FDC Manager or Lead Centralized Scheduler.
