Job summary

Hartford HealthCare is seeking a Central Staffing Specialist to support staffing operations for the Greater Manchester region. The role focuses on generating and updating staff schedules, reconciling timecards for payroll, and ensuring nursing units are staffed per templates within budget and census constraints.

Ideal candidates will have 3–5 years in hospital staffing or related office experience, plus proficiency in Word, Excel, and scheduling software.

Qualifications

  • Minimum 3–5 years in hospital staffing or related office experience.
  • Proficient in Microsoft Word, Excel and PowerPoint; scheduling software preferred.

Responsibilities

  • Assist Staffing Coordinator in scheduling department staff by generating and updating schedules, with adjustments for budget, census, call-ins, and leaves.
  • Review employee requests and reconcile department timecards for payroll processing.
  • Utilize computer software to prepare, change and update clinical schedules.
  • Ensure nursing units are staffed using applicable templates and reconcile final schedules by due date.
  • Collaborate with manager to approve/deny scheduling and time-off requests; assist with timecard reconciliation.

The Greater Manchester Region has approximately 2,500 employees. It includes Manchester Memorial Hospital, a 249-bed community hospital, Rockville General, a campus of Manchester Memorial Hospital, a 102-bed facility, a large multispecialty provider group and visiting nurse services. The Greater Manchester Region serves a region of 300,000 people in 19 towns.

Assist Staffing Coordinator in scheduling department staff by generating and updating schedules while making adjustments as needed according to budgetary constraints, census fluctuations, call-ins, and pre-planned leaves of absence. Responsible for reviewing employee requests and reconciling department timecards for payroll processing.

Competencies

Strong communication skills, written and verbal, are required to effectively communicate with department leaders and clinical staff.

A solid customer service acumen and interpersonal skill is essential to successfully fulfill the service element required of this position.

Basic knowledge of staffing plans in clinical areas. Exhibits critical thinking skills specific to urgent and operational situations in high stress and face paced environment.

Ability to manage multiple priorities and to manage projects from initiation to completion within prescribed schedules and utilization of resources.

Ability to maintain confidentiality.

Highly organized and detail orientated.

ESSENTIAL DUTIES And RESPONSIBILITIES

  • Partners with Staffing Coordinator to align staffing operations with organizational staffing expectations and goals.
  • Ability to cover for Central Staffing Specialist and complete daily Staffing Office tasks when necessary.
  • Utilizes computer software to prepare, change and update the clinical schedules.
  • Ensures nursing units are staffed utilizing the applicable templates.
  • Reconciles schedules to be final in staffing and scheduling system by due date.
  • In collaboration with manager, approves/denies scheduling and time off requests.
  • Reconciles timecards by managing missed punches, unexcused absences, unscheduled shifts, etc. with support from the Central Staffing Specialist.
Qualifications

EDUCATION/CERTIFICATION:

High School Diploma Required, Associate Or Bachelor Degree Preferred.

Experience

Minimum of 3-5 years in Hospital Staffing or other related office experience.

Proficient computer skills including Microsoft Word, Excel and PowerPoint.

Experience in a time keeping or scheduling software strongly preferred.
