Job summary

Above- is seeking an Operations Center Coordinator to support the launch and ongoing operations of ABA therapy centers in Greensboro, NC. You will train staff, manage vendors, coordinate events, and ensure centers run smoothly and safely.

You will oversee inventory, maintenance, and content capture for marketing while partnering with Center Managers to optimize processes and provider relationships across all locations.

  • Coordinate center events and vendor services for operations.
  • Manage inventory, ordering, and stock across all centers.
  • Provide ongoing center support: facilities, safety, cleanliness.
  • Oversee maintenance and service visits (HVAC, plumbing, security).
  • Build relationships with managers, vendors, and internal teams.
  • Support office moves and center expansion projects.
  • Assist with operational reporting and process improvements.
  • Capture center photos/videos for marketing and communications.

Job description

Center Essential Responsibilities

  • Support the operational setup and launch of new ABA therapy centers, ensuring each location is fully prepared for opening.
  • Train, onboard, and mentor newly hired Administrative Assistants, ensuring consistency in administrative procedures, scheduling workflows, client intake processes, documentation standards, and day-to-day center operations.
  • Coordinate and support center events, including grand openings, family events, staff appreciation activities, and other operational initiatives.
  • Capture and coordinate the collection of high-quality photos and videos from centers for marketing, social media, and company communications. Work with Center Managers and staff to ensure content is submitted regularly and reflects the organization's brand and culture.
  • Monitor monthly inventory levels and oversee the ordering, distribution, and organization of supplies to ensure each center remains adequately stocked and operational.
  • Provide ongoing operational support to all centers by addressing day-to-day facility and operational needs, ensuring each location remains clean, organized, safe, and fully operational.
  • Coordinate and oversee routine maintenance, repairs, and facility improvements, ensuring all issues are addressed promptly and with minimal disruption to center operations.
  • Manage all scheduled and unexpected service visits, including coordinating with plumbers, electricians, HVAC technicians, pest control providers, cleaning services, locksmiths, internet and security vendors, and other contractors. Ensure services are completed on time, meet quality expectations, and are cost-effective.
  • Source, evaluate, negotiate with, and maintain relationships with reliable vendors and service providers to secure high-quality services and supplies while maximizing value for the organization.
  • Obtain quotes, compare vendor pricing, and coordinate vendor services to support operational needs across all centers.
  • Conduct routine operational visits to identify maintenance needs, safety concerns, operational deficiencies, and opportunities for improvement.
  • Build and maintain positive working relationships with Center Managers, vendors, contractors, landlords, and internal departments to ensure effective communication and collaboration.
  • Provide administrative coverage and support when needed, including front desk responsibilities, scheduling assistance, client intake, and general administrative functions to ensure uninterrupted center operations.
  • Assist with office moves, renovations, expansions, new center openings, and other operational projects as assigned.
  • Support leadership with operational reporting, process improvement initiatives, and special projects that enhance efficiency, consistency, and the overall performance of the centers.
  • Perform other duties as assigned to support the continued success and growth of the organization.
