Job summary

Elior North America is hiring a Catering Sales Coordinator to join the Constellation team at Duane Morris in Philadelphia, PA. The role focuses on supporting the catering sales and events team, ensuring smooth execution and timely communication with clients and venue staff.

The ideal candidate will have 2 years of catering/administrative experience and be proficient with Word and Excel, with a nice-to-have Safe Food Handlers Certification.

Qualifications

• 2 years of catering/food-beverage and/or administrative/event experience.
• Basic PC knowledge and comprehension (Word & Excel).
• Safe Food Handlers Certification (nice-to-have).

Responsibilities

• Support the Director of Catering and sales team to enable flawless event execution.
• Ensure CaterXpert event data is up to date and detailed before deadlines.
• Assist in setup and execution of events.
• Coordinate scheduled deliveries and pickups for event rentals.
• Maintain calendar of events and attend meetings and calls.
• Communicate with sales, culinary and booking staff to align on menus and client needs.
• Handle collection and submission of payments/deposits and monitor AR for discrepancies.

The Role at a glance:

We are looking for a Catering Sales Coordinator to add to our Constellation team at Duane Morris in Philadelphia, PA . This is a great opportunity if you have a catering events background and you have had experience planning and executing those events. You’ll be directly supporting the needs/goals of the Director of Catering as well as the Catering Sales Manage and the Event Specialist. If you are looking to advance your career in managing catering events, this is a great role for you.

What you'll be doing:

• Working as a member of a cohesive operations team supporting the Director of Catering and sales team, as well as the General Manager to enable perfect event execution. This individual functions as a support to the Event Manager and Captains, as well as sometimes acting as a junior sales specialist when business levels are high. The Catering Manager maintains a positive, “win-win” attitude, always working to improve the execution and timeliness of their team.
• Ensuring all event information in CaterXpert from the sales team is up to date and fully detailed prior to event/deadlines.
• Assisting in the setup and execution of events
• Ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue manage
• Maintain calendar of events through Outlook and attend all necessary event meetings and conference calls.
• Communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client need
• Responsible for the collection and submission of all payments and deposits as it relates to contracted events. They are responsible for ensuring that these payments are on time and responsible for reviewing the weekly AR report and correcting any discrepancies and/or collecting any late payments.
