Job summary

Southworth is seeking a Catering & Event Coordinator to plan and coordinate diverse events, from corporate meetings to celebrations. You will work closely with clients, vendors, and team members to ensure flawless execution and memorable experiences.

The role requires a Bachelor’s in a related field and proven event coordination experience, with strong organizational skills and proficiency in event software. Join a family company dedicated to hospitality and member satisfaction.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.
  • Proven experience as an event coordinator or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and tools.
  • Creative problem-solving skills and attention to detail.
  • Ability to work under pressure and meet tight deadlines.
  • Ability to manage multiple projects simultaneously.

Responsibilities

  • Prepare proposals and contracts; file client event records including BEOs and invoices; create floor plans.
  • Attend catering and private dining meetings; take notes.
  • Distribute BEO packets and communications to operations team; conduct weekly reporting.
  • Produce BEOs, invoices, floor plans, and other admin documents for private events.
  • Assist with property tours when requested.
  • Support prospecting and planning meetings with Director of Food & Beverage.

Here, diversity is a driver of our success.The Opportunity: As the Catering & Event Coordinator, you'll have the exciting opportunity to plan and coordinate various events, from corporate meetings to parties. You'll work closely with clients, vendors, and team members, ensuring that every detail is handled efficiently and effectively to create unforgettable experiences.Duties & FunctionsPerform daily office duties, including answering phones, preparing proposals and contracts, filing, and creating client event files, including BEOs and Invoices, floor diagrams, and Pre-Meals.Attend and take notes during catering and private dining meetings as requested.Distribute weekly and daily BEO packets and other appropriate weekly communications to the operations team and conduct weekly reporting.Send event follow-up correspondence/evaluations.Participate in client prospecting and planning meetings, as requested by the Director of Food & Beverage.Produce BEOs, invoices, floor plans, and all other administrative documents for all private events and non-member golf outings.Upkeep of Event & Experience Virtual Documents and Materials.Ensure proper setup and cleanliness of event spaces, enforce uniform standards, manage event closure responsibilities, and inspect facilities for compliance with health laws and internal regulations.Upkeep of Event & Experience Virtual Documents and Materials.Produce post-event reports and client follow-up communications.Assist with property tours when requested.Qualification StandardsBachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.Proven experience as an event coordinator or in a similar role.Strong organizational and multitasking skills.Excellent communication and interpersonal abilities.Proficiency in event management software and tools.Creative problem-solving skills and attention to detail.Ability to work under pressure and meet tight deadlines.Ability to manage multiple projects simultaneously.Join our dynamic team and play a pivotal role in creating unforgettable experiences for our members and guests.
