Job description

Position Overview

Our client is a award winning personal injury law firm that is seeking an experienced, dynamic, and dedicated professional to join our team as a Full-Time Bilingual Personal Injury Case Manager. This role sits at the operational core of our high-volume, client-centered pre-litigation department. The ideal candidate will possess between 3 and 10 years of focused personal injury experience, demonstrating an advanced mastery of case progression from the initial client intake through to settlement resolution or transfer to the litigation department.

In this role, you will act as the vital bridge between injured clients, treating medical providers, insurance claims adjusters, and the supervising attorney. Because our client base is diverse, complete fluency in both English and Spanish is required. You will be tasked with guiding clients through one of the most stressful periods of their lives, ensuring they receive the medical care they need, that all property damage claims are resolved quickly, and that every detail of their bodily injury claim is fully compiled, documented, and prepared for maximum settlement value.

Key Roles and Responsibilities

The responsibilities of the Bilingual Case Manager require a proactive approach, organizational discipline, and deep familiarity with insurance procedures and personal injury law. Your day-to-day duties will encompass, but will not be limited to, the following core functional areas:

1. Client Relationship Management and Advocacy
  • Serve as the primary, daily point of contact for a portfolio of pre-litigation personal injury clients, conducting communications seamlessly in both English and Spanish.
  • Conduct comprehensive initial client intake interviews, obtaining factual details regarding the incident, insurance policies, parties involved, and initial injury complaints.
  • Educate clients on the personal injury claims process, explaining complex legal concepts, expectations, realistic timelines, and medical management clearly and empathetically.
  • Maintain consistent contact with clients throughout their medical treatment via bi-weekly or monthly status updates to monitor recovery, identify changes in health status, and foster high client satisfaction.
  • Address client concerns, alleviate anxieties, and resolve client inquiries promptly, de-escalating issues with professional bedside manner.
2. Investigation and Property Damage Resolution
  • Open claims with all relevant auto insurance companies (first-party and third-party coverages, including PIP, MedPay, Liability, and UM/UIM).
  • Request, analyze, and secure initial liability documentation, including police accident reports, 911 dispatch calls, incident reports, surveillance footage, and witness statements.
  • Manage, coordinate, and expedite property damage claims, including total loss evaluations, vehicle repairs, rental car logistics, and diminished value claims.
  • Identify and verify all active layers of insurance coverage applicable to the claim, ordering insurance policy declaration pages and tracking formal coverage position letters.
3. Medical Management and Treatment Monitoring
  • Coordinate initial client consultations and ongoing appointments with appropriate medical specialists, including orthopedists, neurologists, chiropractors, physical therapists, pain management physicians, and imaging centers.
  • Track and document client medical compliance, verifying that gaps in treatment do not occur and that clients adhere to physician recommendations.
  • Monitor diagnostic test schedules (MRIs, CT scans, EMGs) and promptly acquire findings and radiology narratives.
  • Assist uninsured or underinsured clients in obtaining necessary treatment through Medical Liens or Letters of Protection (LOPs), ensuring clear documentation of all financial agreements.
4. Records Collection, Organization, and File Preparation
  • Request, follow up on, and systematically catalog complete medical records, billing ledgers, and health insurance subrogation itemizations.
  • Obtain employment records and verify lost wages using employer documentation, tax returns, and physician disability notes.
  • Draft formal reduction requests and negotiate balances with medical lien holders, health insurance providers (including Medicare, Medicaid, and private ERISA plans), and subrogation agencies.
  • Prepare comprehensive pre-demand summaries for the handling attorney, breaking down liability findings, medical procedures, total billing, and loss evaluations.
  • Draft detailed pre-litigation demand letters outlining liability, causation, injuries, medical narratives, and financial damages under attorney supervision.
5. Case Progression and Administrative Work
  • Utilize legal practice management software to log every call, email, document, and operational task accurately.
  • Continuously audit assigned files to advance cases swiftly from one phase to the next, identifying bottlenecks and eliminating operational delays.
  • Collaborate with the litigation team to ensure a seamless file transition if an acceptable settlement cannot be reached during the pre-litigation negotiation phase.
  • Assist in finalizing closing statements, obtaining updated medical lien balance reductions, and preparing client disbursements.
Required Qualifications and Skills

We are searching for a seasoned, autonomous, and detail-oriented professional. To be considered for this role, candidates must meet the following baseline requirements:

  • Work Experience: 3 to 10 years of progressive, direct experience working as a Case Manager or Paralegal within a high-volume plaintiff personal injury law practice, with a heavy emphasis on pre-litigation processes.
  • Language Proficiency: 100% fluent in both English and Spanish (verbal, reading comprehension, and written). The candidate must be able to translate complex legal and medical documents on demand and communicate fluently with native Spanish-speaking clients.
  • Technical Competence: Advanced proficiency with legal case management platforms (such as Filevine, Clio, Needles, Casepeer, or MyCase). Exceptional skills within Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Pro.
  • Insurance Acumen: Strong practical understanding of insurance coverage mechanics, including PIP, MedPay, Bodily Injury (BI), Property Damage (PD), Uninsured/Underinsured Motorist (UM/UIM) coverages, and health insurance subrogation rights (Medicare, Medicaid, and ERISA plans).

  • Soft Skills: Uncompromising organizational skills, exceptional written and verbal communication, empathetic interpersonal delivery, high emotional intelligence, and the capability to juggle high-volume caseloads under tight deadlines without micromanagement.
Preferred Qualifications
  • Associate degree, bachelor's degree, or Paralegal Certificate from an ABA-approved institution.
  • Prior experience drafting substantive personal injury demand packages from raw medical files.
  • Proven record of negotiating medical lien reductions with medical providers and third-party collection agencies.
Compensation, Benefits, and Firm Culture

Our law firm is committed to investing in our team members by offering a competitive total rewards package designed to support personal, professional, and financial growth.

  • Salary: Highly competitive annual base salary commensurate with years of pre-litigation personal injury experience ($65,000 to $85,000 per year).

  • Health and Wellness: Comprehensive health insurance coverage (Medical, Dental, and Vision) with significant employer contributions toward premiums.
  • Retirement Planning: 401(k) Retirement Plan featuring competitive employer-matching contributions.
  • Time Off: Generous Paid Time Off (PTO) policy covering vacation and personal days, alongside paid firm holidays and annual year-end office closures.
  • Career Development: Continual training workshops, legal seminar sponsorships, and clear internal trajectories for career mobility.
