The Capital Law Firm, P.C. in Los Angeles, CA seeks a Case Manager Assistant to support case managers by gathering documents for new and existing cases and ensuring timely completion of tasks. This entry-level to mid-level role offers growth potential and on-the-job training.

Your day-to-day includes scheduling doctors’ appointments, sending reminders, coordinating transportation, opening claims, obtaining DEC pages, following up on liability, and keeping clients informed throughout the process.

Qualifications

• Strong hands-on experience with the Medical Records Coordination (MRC) process within a personal injury law firm.
• Experience overseeing or coordinating a medical records team is highly preferred.
• Experience managing high-volume medical records and billing requests with strong organization and attention to detail.
• Knowledge of medical records retrieval, medical billing, provider follow-up, authorizations, HIPAA requirements, and personal injury case workflows.
• Ability to track multiple cases and outstanding medical records requests while meeting deadlines.

Responsibilities

• Support Case Managers – assist with scheduling doctors’ appointments, sending reminders to clients, and coordinating transportation.
• Open all claims of incoming cases.
• Run PL Searches as needed.
• Obtain 1P DEC Page.
• Follow up with 1P regarding coverage and DEC Page.
• Send out SR1 and SR19 as needed.
• Handle Property Damage with clients and ensure compensation.
• Obtain witness statements and videos as needed.
• Run investigative searches (PL, Policy Search, TLO, ISO).
• Scan and save documentation to the firm’s system.
• Maintain client communications when Case Manager is unavailable.
• General office support and tasks; build and maintain case database.
