Virtual Staffing Careers is seeking a bilingual Spanish-English Personal Injury Case Manager to join a remote U.S.-based law firm. You will manage PI cases from intake to resolution, coordinate medical records, and communicate with clients and insurers in English and Spanish.

Ideal candidates have 1+ year PI experience, strong organization, and proficiency with case management tools. This role follows U.S. business hours and is fully remote.

Qualifications

  • Minimum 1 year of recent U.S. Personal Injury legal experience.
  • Direct experience working for a U.S. law firm or U.S.-based legal company.
  • Experience in Personal Injury Law specifically.
  • Experience managing or supporting an active PI caseload.
  • Strong written and verbal English communication skills (C1 level or higher preferred).
  • Fluent Spanish and English.
  • Experience handling confidential client information.
  • Excellent organizational and time-management skills.

Responsibilities

  • Manage and maintain assigned personal injury cases from intake through resolution.
  • Monitor progression and ensure required steps are completed on time.
  • Maintain accurate electronic case files and notes.
  • Track deadlines, appointments, treatment milestones, records, bills, and tasks.
  • Identify missing information and proactively follow up.
  • Communicate with clients and insurers; explain next steps clearly.
  • Coordinate medical records, treatment, and provider information.
  • Communicate with insurance adjusters and review policies as needed.
  • Assist with settlement preparation and demand packages.
  • Draft settlement demands under attorney direction; track offers.
  • Maintain calendars, prioritize urgent matters, and ensure deadlines are met.
  • Support lien identification and negotiation when applicable.

Are you an experienced legal professional with a strong background in U.S. Personal Injury Law?

We are looking for a Bilingual Spanish-English Personal Injury Case Manager to join our remote team and support a U.S.-based law firm.

This role is ideal for someone who understands the personal injury case lifecycle, is confident communicating with clients and insurance companies, and can independently manage deadlines, medical records, treatment, documentation, and case progression.

1. Case Management & Case Progression
  • Manage and maintain assigned personal injury cases from intake through resolution.
  • Monitor the overall progression of each case and ensure required steps are completed on time.
  • Maintain accurate and organized electronic case files.
  • Track important deadlines, appointments, treatment milestones, records, bills, and case tasks.
  • Identify missing information or documentation and proactively follow up.
  • Review case information and identify potential issues that may affect case progression.
  • Maintain accurate case notes and documentation in the firm's case management system.
  • Ensure cases are consistently updated and properly documented.
2. Client Communication & Relationship Management
  • Maintain regular communication with clients throughout the case.
  • Respond promptly and professionally to client calls, emails, and messages.
  • Provide clients with appropriate case updates and explain procedural next steps clearly.
  • Follow up with clients regarding medical treatment, appointments, documentation, and outstanding information.
  • Maintain a professional and empathetic approach when dealing with injured clients.
  • Communicate confidently in both English and Spanish.
  • Escalate legal, medical, or case-related concerns to the appropriate attorney or supervisor.
3. Medical Records & Treatment Coordination
  • Request and follow up on medical records and billing records.
  • Track medical treatment and provider information.
  • Monitor treatment progress and identify gaps or inconsistencies that require follow-up.
  • Organize medical records, bills, diagnostic reports, and other supporting documentation.
  • Communicate with medical providers regarding records, bills, treatment updates, and documentation.
  • Review medical records sufficiently to understand the client's treatment history and case development.
4. Insurance & Adjuster Communication
  • Communicate with insurance adjusters regarding case status and documentation.
  • Request and track insurance information and claim documentation.
  • Follow up with adjusters regarding outstanding items and settlement-related communications.
  • Review available insurance policy and coverage information when required by the firm's process.
  • Escalate coverage, liability, or settlement concerns to the attorney when appropriate.
5. Settlement & Demand Support
  • Assist with settlement preparation.
  • Gather and organize documentation needed for settlement.
  • Prepare or assist with settlement demand packages.
  • Review medical records, bills, treatment history, and damages documentation.
  • Draft settlement demands under attorney or senior case manager direction.
  • Communicate with adjusters regarding settlement negotiations.
  • Track settlement offers and case developments.
  • Coordinate settlement documentation and follow-up.
  • Assist with lien identification and negotiation when applicable.
  • Maintain case-specific calendars and deadlines.
  • Schedule client calls, appointments, meetings, and other case-related activities.
  • Monitor assigned tasks and follow-ups.
  • Prioritize urgent and time-sensitive matters.
  • Ensure deadlines are not missed.
  • Maintain organized daily and weekly task lists.
  • Proactively follow up on outstanding items rather than waiting for instructions.
  • Minimum 1 year of recent U.S. Personal Injury legal experience

  • Core i5 / AMD Ryzen 3 or equivalent or higher
