Job summary

Preferred Care at Home in Sarasota, FL is hiring a Recruiting & Scheduling Coordinator to support our private duty home health team. We seek an organized, people‑oriented professional with at least one year of recruiting or scheduling experience to help caregivers and clients alike.

You will manage recruitment for CNAs, HHAs, and caregivers, coordinate daily schedules, onboarding, and ensure compliance, while maintaining accurate records in our system and delivering exceptional service.

Qualifications

• Minimum of one year of experience in private duty home health care recruiting or scheduling.
• Experience in a home care agency or private duty home health environment.
• Knowledge of caregiver scheduling, staffing coordination, and recruitment processes.
• Strong organizational, multitasking, and problem-solving skills.
• Excellent written and verbal communication skills.
• Ability to work independently and prioritize tasks in a fast-paced environment.
• Comfortable handling high call volumes and time-sensitive staffing needs.
• Proficiency with computers, scheduling software, and Microsoft Office or Google Workspace.
• Experience with WellSky, Hireology, or similar platforms is a plus.
• Professional, dependable, and detail-oriented.

Responsibilities

• Manage the recruitment process for CNAs, HHAs, and caregivers.
• Review applications, conduct phone screenings, and coordinate interviews.
• Assist with onboarding, orientation, and new-hire documentation.
• Maintain accurate caregiver records and ensure compliance with company policies and state requirements.
• Monitor staffing needs and proactively recruit qualified caregivers.
• Build and maintain a strong pipeline of available caregivers.
• Coordinate daily and weekly caregiver schedules based on client needs and caregiver availability.
• Fill open shifts, manage call-outs, and coordinate last-minute schedule changes.
• Communicate with caregivers, clients, and office staff regarding scheduling updates.
• Assist with new client assignments and caregiver placement.
• Monitor caregiver attendance and scheduling compliance.
• Maintain accurate scheduling information in the company's home care management system.
• Work closely with the operations team to ensure continuity of care and client satisfaction.
