The Business Services Coordinator position performs a variety of office assistant tasks in support of Clinical Services programs and operations. Employee performs a variety of ongoing work functions independently that include sorting and entering data for records, processing section invoices, reports and filing activities, public contact, office management and equipment operation, composition, and other general office duties. Work requires knowledge of DPS and Juvenile Justice policies and procedures, familiar with Clinical Services contracts and programs, including grants. Work requires use of applicable office equipment systems and related technology. Several software packages may be used to enter, retrieve, verify, update, research, and/or authorize actions. The variety and complexity of these packages may increase as the level of responsibility increases. This position will report to the Business Officer I and provides support for central office and facility Clinical Services and Programs Staff. Work reflects an increase in complexity or scope of tasks, the knowledge and application of policies and procedures, degree of independence and accountability, and consequence of tasks performed.

This position will be communicating and collaborating with Clinical Services and Juvenile Justice staff, staff from other departments, outside vendors and other partners and stakeholders. Other duties of this position will include but not limited to:
- Day to day office management, to include, but not limited to, ordering and monitoring office supplies and equipment, maintain annual copier and building leases, process behavioral health, medical and general invoices for section
- Assisting with short and long-term project planning to include maintaining files, coordinating meetings, managing communication, preparing materials, conducting research etc.
- Learning/Utilizing multiple web-based platforms for business purposes to include but not limited to, FIORI/BEACON, Microsoft Office Suite, E-procurement, NCFS, NC-JOIN, E-Billing, and other software systems
- Managing inventory and fixed assets for Clinical Services' equipment and supplies
- Entering and collecting data in/from data or web-based systems used for accountability and decision-making purposes
- Supporting HR functions for Clinical Services Central Office, which may include scheduling interviews, compiling materials, etc.
- Central Office Section p-card reconciler
- Obtaining quotes, entering orders in E-procurement system, tracking and reconciling transactions
- Manage ordering of central office section cell phones, monitor and track usage, upgrades and returns
- Coordinating travel and reimbursements for clinical services and programs staff
- Preparation of memos, reports, and presentations
- Assist with coordinating events such as meetings, trainings, conferences, etc.
- Attending meetings as assigned and recording and distributing minutes as needed
- Managing and overseeing Clinical Services motor vehicle fleet, ensuring routine maintenance and inspections are completed
- Assisting other sections of Juvenile Justice as needed to maintain business operations
Work Schedule:
This is a full-time position. Monday-Friday, 8am-5pm

To qualify for this position, applicants must demonstrate ALL of the following KSAs:
- Demonstrated experience coordinating travel and submitting reimbursements for staff
- Demonstrated experience reconciling bills for an office
- Demonstrated experience with Microsoft Word, Excel, PowerPoint and Outlook
- Demonstrated experience ordering office supplies
Management Preferences: These skills are not required but managers may choose to interview/select applicants who demonstrate Management Preferences.
- Experience with state E-Procurement System
- Experience with SharePoint and/or E-Billing
- Experience with NC Financial System (NFCS/NCAS)
- Experience with BOA Works
- Experience with prioritizing multiple task/projects to meet deadlines
Minimum Education And Experience Requirements

High school or General Educational Development (GED) diploma and four years of related administrative experience.
