The Role

We seek an exceptional Business Partner to join the team providing strategic executive support. This role is not just about logistics, it's about operational excellence and playing a pivotal part in a high-performance, mission-driven environment.

You’ll be a critical part of the team responsible for managing complex calendars, coordinating among multiple teams to orchestrate travel and engagements, and executing on key priorities. This position requires exceptional judgment, relentless follow-through, and the ability to navigate fast-paced, high-stakes situations with discretion and clarity. Reporting to the Head of Executive Operations, you will be based at our West Hollywood office and will work closely with teams in New York City, Menlo Park, Long Beach, and beyond to ensure seamless coordination on professional and personal matters.

Key Responsibilities
Executive & Strategic Support
  • Serve as one of the core group of executive assistants, rotating through different responsibilities to liaise with all teams and interlocutors to manage scheduling needs, balancing urgency, long-term priorities, and alignment across entities and efforts.
  • Drive communications on behalf of the executive support team, managing incoming requests and interfacing with high-level external partners, institutions, and networks.
  • Lead coordination and logistics for key meetings, speaking engagements, and events, ensuring briefings, prep, and follow-ups are executed seamlessly.
  • Own the travel experience end-to-end: coordinating complex global itineraries, contingencies, and advance planning across jurisdictions.
  • Collaborate across teams to share information and align schedules and goals.
Administrative & Office Operations
  • Provide comprehensive administrative and executive assistance to the West Hollywood-based team, including processing expense reimbursements.
  • Manage essential office operations and document administration, including manual and network file maintenance, scanning, photocopying, monitoring team email inboxes for contracts/notices, and performing data entry.
  • Prepare, format, and redline contracts, filings, memoranda, and correspondence.
  • Provide back-up support for general office functions (e.g., mail processing, greeting guests, coordinating office space for visitors) and the planning/logistics of in-office and offsite special events.
Operational Excellence
  • At times, go in advance or travel with the principal to support on-site at events and engagements, coordinating with security, communications, local interlocutors, and others.
  • Build systems and workflows to ensure smooth coordination of logistics, recurring briefings, document preparation, and knowledge transfer.
  • Identify and implement process improvements that enhance efficiency and responsiveness across the team.
  • Be a thought partner: proactively anticipate needs, identify opportunities for improvement, work with colleagues, and handle emerging challenges with minimal guidance.
High-Impact Execution
  • Navigate ambiguity and break down complex challenges into actionable steps.
  • Manage competing priorities with grace, making smart decisions on what gets done, delegated, or deferred.
  • Take ownership of follow-through, ensuring that nothing falls through the cracks, from last-minute changes to mission-critical deliverables.
