Qualifications

Business Optimization Development Specialist

Job Summary: The Business Optimization Development Specailist is responsible for evaluation, improving and implementing clerical and administrative workflows in the clinics and patient access centers. This role partners with operations leaders, EMR team and team partners to identify operational opportunities, recommend solutions, implement processes and provide training and development for sustained change.

Primary Job Responsibilities/Tasks may include, but not limited to:

• Identify root causes of operational challenges and recommend practical, sustainable solutions
• Observe day-to-day practice operations to identify inefficiencies, workflow variation, duplication, communication gaps, and opportunities for improvement.
• Recommend changes that improve efficiency, consistency, accountability, employee experience, and patient experience.
• Partner with operational and practice leadership to implement approved workflow changes.
• Develop training materials, standard operating procedures, job aids, checklists, workflow guides, presentations, and other educational resources.
• Provide hands-on coaching and reinforcement to support successful adoption of workflows.
• Identify recurring training needs and recommend educational strategies to address them.
• Translate operational expectations into clear, practical processes employees can consistently follow.
• Help employees understand the purpose behind workflow changes and how individual responsibilities affect the overall patient journey.
• Conduct post-implementation observations to assess whether changes have been effectively integrated into daily operations.
• Identify barriers to implementation and collaborate with leadership to develop solutions.
• Support practices during significant operational changes, system implementations, new initiatives, staffing transitions, or practice openings as assigned.
• Gather information through observation, employee discussions, workflow reviews, and available operational data.
• Develop clear recommendations and communicate findings to appropriate leadership.
• Prioritize recommendations based on operational impact and organizational needs.
• Assist leaders in developing action plans to address identified opportunities.
• Promote workflows that support accurate, timely, and consistent administrative processes.
• Incorporate patient-centered service expectations into operational assessments and training.
• Identify processes that may contribute to patient delays, communication breakdowns, or inconsistent patient experiences.
• Escalate identified operational, quality, or compliance concerns through appropriate leadership channels.
• Conduct follow-up reviews to evaluate sustainability of operational changes.
• Continually evaluate training programs and operational resources for opportunities to improve effectiveness.
• Maintain detailed project documentation, including timelines, issues, and resolutions.
• All other duties as assigned.

Requirements

Education and Certifications

• Bachelor’s degree in IT or healthcare preferred or the equivalent of education and experience.
• Maintain continuing education activities to ensure knowledge related to all EMR software and quality programs.

Experience

• Demonstrated ability to coordinate the implementation of complex software products.
• Ability to handle multiple concurrent projects.
• Ability to effectively learn and adapt to new IT/EMR systems and workflows.
• Ability to effectively communicate with multiple levels of staff.
• Ability to work occasional varying shifts based on business needs.
• Must possess excellent communication and interpersonal skills, be well organized, team player and detail oriented.
• Strong command of office products such as MS Office, Excel, Word, basic HTML preferred.
• Experience with AthenaOne preferred.

Physical Requirements

• Work consistently requires walking, standing, sitting, lifting, reaching, stooping, bending, pushing, and pulling.
• Must be willing to travel to multiple clinic locations as needed for on-site support.
• Must be able to lift and support weight of 35 pounds.
• Ability to concentrate on details.
• Use of computer for long periods of time.
