Job summary

The National Council of State Boards of Nursing in Chicago, IL is seeking a Business Operations Specialist I to support day-to-day operations, maintain shared workspaces, and manage supply inventories. You will serve as a main contact for workspace needs and assist with logistical and administrative processes.

Reporting to the Senior Business Operations Manager, Consolidated Services, you will help ensure conference rooms and workrooms are well-stocked, organized, and safe, while upholding

Qualifications

  • Associate degree or 2 years of relevant experience in lieu of a degree.
  • Strong attention to detail, adaptability, and flexibility in a fast-paced environment.
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and intermediate Windows skills.
  • Ability to lift and move bulk office supplies.

Responsibilities

  • Support organizational logistics, including onboarding and offboarding processes, monthly employee High 5s, ID badge creation, incoming mail, all-staff meeting coordination and support, and digital mailroom administration.
  • Oversee and monitor office and kitchen supply inventories, proactively order items to prevent shortages, receive and stock supplies, distribute supplies to staff and workrooms, and maintain clean, organized common areas, conference rooms, and workrooms.
  • Identify, monitor, and resolve general office facility maintenance issues, communicate with vendors regarding building maintenance, housekeeping, and work environment matters, and keep staff informed of maintenance issues in building common areas.
  • Serve as a resource to staff on general office procedures, office machine operation and maintenance, FedEx and USPS mailings, online office supply ordering, and other general office services.
  • Provide administrative and technical support to the Consolidated Services unit on special projects and initiatives.
  • Maintain an understanding of relevant products, support policies, and support delivery methods; meet established performance metrics in accordance with standard operating procedures; and proactively identify and recommend process improvement opportunities.

JOB SUMMARY

We are seeking a dedicated administrative professional to join our Consolidated Services (CS) team. The ideal candidate will bring value by supporting day-to-day business operations, maintaining shared workspaces and supply inventories, and providing timely, accurate, and professional assistance to NCSBN departments.

Reporting to the Senior Business Operations Manager, Consolidated Services, the Business Operations Specialist I will serve as a main point of contact for shared workspace needs and supply orders, support logistical and administrative processes, coordinate general office services, and help ensure common areas, conference rooms, and workrooms are well-stocked, organized, and safe.

QUALIFICATIONS
  • Associate degree, or at least 2 years of relevant experience in lieu of a degree.
  • Strong attention to detail, adaptability, and flexibility in a fast-paced environment.
  • Computer skills, including Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and intermediate Windows skills.
  • Ability to lift and move bulk office supplies, such as packs of soda and office supply shipping boxes.
COMPENSATION AND BENEFITS

The anticipated starting salary for this position is $40,000 - $45,000 annually. Actual compensation will be dependent on a candidate’s relevant experience, skills, training, certifications/licenses, qualifications and geographical location.
