Job description

Full-Time | In-Person | Downtown Chicago

Performance AI is hiring a Business Operations Manager to build the operating foundation required to scale a growing enterprise AI company.

This is not a traditional administrative or maintenance role. You will work closely with the COO and CEO to turn leadership priorities into accountable plans, establish company-wide operating discipline, and ensure that important commitments do not fall through the cracks.

COMPENSATION AND BENEFITS
  • Annual performance bonus: Up to 10% of base salary
  • Paid time off and paid sick leave

This is a full-time, in-person position at Performance AI’s office in Prudential Tower in downtown Chicago.

WHAT YOU WILL OWN

You will build and manage the systems that create visibility, accountability, and reliable execution across the company.

Your responsibilities will include:

  • Establishing the company’s operating cadence, including leadership meetings, quarterly priorities, decision logs, KPI reviews, and action tracking.
  • Translating strategic priorities into clear plans with owners, deadlines, milestones, dependencies, and risks.
  • Building company-wide dashboards, executive reports, operating procedures, and accountability systems.
  • Managing cross-functional initiatives and escalating blockers before they affect customers, revenue, compliance, or delivery.
  • Coordinating employee onboarding, offboarding, payroll inputs, benefits administration, background checks, equipment, access, and documentation.
  • Supporting SOC 2, HIPAA, privacy, security, and customer compliance programs through evidence collection, remediation tracking, and audit readiness.
  • Managing contract workflows, vendor onboarding, renewals, insurance records, procurement controls, and corporate documentation.
  • Coordinating invoicing, accounts receivable, vendor payments, financial reporting inputs, and external accounting providers.
  • Creating consistent sales-to-implementation handoffs, customer onboarding plans, status reporting, training coordination, launch readiness, and acceptance tracking.

The role is approximately:

  • 50% company operations and cross-functional execution
  • 35% people, compliance, vendor, and corporate operations
  • 15% customer implementation operations
WHAT WE ARE LOOKING FOR

You should have:

  • At least 5 years of relevant experience in business operations, program management, corporate operations, implementation operations, or a related field.
  • Demonstrated experience building or materially improving operating processes—not simply administering existing ones.
  • Strong project-management and cross-functional execution skills.
  • The ability to establish accountability across peers and senior stakeholders without relying on direct authority.
  • Excellent written communication, documentation, reporting, and executive-summary skills.
  • Strong judgment regarding what to handle independently, what requires consultation, and what must be escalated.
  • The discretion required to work with employee, customer, financial, legal, security, and company-confidential information.
PREFERRED EXPERIENCE

Experience in one or more of the following areas is strongly preferred:

  • B2B technology, enterprise software, healthcare technology, financial services, or another regulated industry.
  • SOC 2, HIPAA, privacy, security, or enterprise customer compliance.
  • Enterprise customer onboarding, implementation, professional services, or delivery operations.
  • Payroll, billing, accounts receivable, or month-end coordination.
  • Working directly with founders and senior executives.
YOU WILL SUCCEED HERE IF YOU
  • Take ownership and consistently close loops.
  • Bring structure to fast-moving situations without adding unnecessary bureaucracy.
  • Challenge unclear ownership, unrealistic deadlines, and hidden risks directly and professionally.
  • Identify problems early and recommend practical solutions.
  • Move comfortably between strategy and detailed execution.
  • Prefer measurable results, documented decisions, and clear accountability over activity for its own sake.
  • Keep leadership informed before problems become surprises.
WHAT SUCCESS LOOKS LIKE

Within your first 90 days, you will be expected to:

  • Establish a company-wide priority tracker and leadership operating cadence.
  • Create a master calendar of critical corporate, HR, legal, compliance, insurance, vendor, and customer obligations.
  • Centralize contracts, vendor records, policies, insurance documents, and corporate records.
  • Standardize employee onboarding and offboarding.
  • Implement a compliance and operational risk register.
  • Establish a repeatable sales-to-implementation handoff and customer onboarding process.
  • Present a prioritized 12-month business operations roadmap.
WHY JOIN PERFORMANCE AI

You will have the opportunity to:

  • Build the operating foundation of a growing enterprise AI company.
  • Work directly with the COO and CEO on issues affecting customers, revenue, compliance, and scale.
  • Shape how the company plans, communicates, documents decisions, and executes.
  • Operate at the intersection of AI, enterprise technology, regulated industries, and business transformation.
  • Grow toward a Director of Business Operations position as the company scales and your performance supports the expansion.
LOCATION REQUIREMENT

Candidates must currently live within commuting distance of downtown Chicago or independently relocate before their start date. Relocation assistance is not available.
