Job summary

American Red Cross is seeking a seasoned administrator to lead daily operations of regional support and business-office functions in New Jersey. You will oversee budgets, procurement, vendor relationships, HR/IT support, and records compliance while guiding volunteers and ensuring aligned operations.

The role requires strong organizational and interpersonal skills, experience with MS Office, and knowledge of applicable laws.

Qualifications

  • Education: High School or equivalent; Associate's degree in Accounting, Business or Public Administration preferred or equivalent experience.
  • Experience: 5+ years in financial or facilities operations/administrative roles in non-profit or government settings; experience with volunteers/board a plus.
  • Skills: Planning, prioritizing, organizing work; attention to detail; strong interpersonal skills; MS Office; knowledge of employment laws; teamwork.

Responsibilities

  • Monitor budget and expenditures; approve procurements; prepare forecasts; ensure programs stay within budget; guide grant reporting and delegations to volunteers.
  • Coordinate facility activities; establish procedures; approve maintenance; build vendor relationships; analyze data for decisions; plan real estate; cross-divisional coordination.
  • Provide volunteers training for admin transactions aligned with strategic goals.
  • Analyze fleet records; manage fleet and personnel training/maintenance.
  • Support event planning; train volunteers for insurance certificates, financial collections, and forms codes used for regulated items.
  • Train staff on business software and escalate regional IT/phone issues.

WHAT YOU NEED TO KNOW (Job Overview):

Lead the daily operation of support services and business office operations for regional administrative functions. Support budget monitoring, daily finance transactions, local vendor relationships, facilities management, fleet management, Human Resources, Information Technology, and records/reports. Provide support, development and/or leadership guidance to all volunteers. Perform all duties and responsibilities in compliance with standard operating procedures and other applicable Federal, State and local regulations.

  • 1. Monitor budget and expenditure, approve procurement transactions, prepare forecasts, and ensure programs are executed within budget. Maintain, and distribute operational processes and procedures and ensure adherence. Provide guidance for grant reporting and respond to requests for information and/or documentation, delegating to volunteers as appropriate.
  • 2. Support coordination of activities of the facility, establish work procedures, approve all maintenance, develop relationships with new vendors, analyze data to inform future decisions, plan for real estate transactions, achieve objectives set forward by management, and meet with other divisions to discuss shared services.
  • 3. Provide training to volunteers to handle the administrative transactions necessary for the business, ensuring that their efforts are well-coordinated with the strategic business goals.
  • 4. Analyze fleet inventory records, training, maintenance, and management of the fleet and personnel.
  • 5. Support planning and preparation for events including the training volunteers to prepare insurance certificate applications, financial collection processes, and appropriate forms and codes used for regulated items including alcohol.
  • 6. Train staff in use of business software application systems and support the escalation for regional phone and computer issues.

PAY INFORMATION: PAY INFORMATION:

The salary range for this position is (New Jersey): $29.00 - $32.00 an hour.

Note that American Red Cross salaries are aligned to the specific geographic location in which the work is primarily performed. Other factors that may be used to determine your actual salary may include your specific skills, how many years of experience you have and comparison to other employees already in this role.

WHAT YOU NEED TO SUCCEED (Minimum Qualifications):

Education: High School or equivalentrequired. Associate's degree in Accounting, Business or Public Administration preferred or equivalent combination of education and related experience.

Experience: Minimum 5 years of financial or facilities business operations/administrative experience in community organizations, government agencies, non-profit, business or equivalent combination of education and related experience required. Experience is preferred working effectively with volunteers and board members.

Management Experience: N/A

Skills & Abilities: Ability to plan, prioritize and organize work to maximize team performance and meet customer expectations. Excellent organizational skills and ability to work with attention to detail. Strong interpersonal skills and the ability to create and maintain collaborative work relationships within the organization and with external stakeholders. Proficient with MS Office software, including Word, Excel, PowerPoint and Outlook. Strong knowledge of federal, state and local employment laws. Ability to work on a team.

Travel: Travel is required throughout the Region with some travel outside of Region.

Physical Requirements

Physical requirements are those present in normal office environment conditions. Operational flexibility is required to meet sudden and unpredictable needs. Ability to use a personal computer, applicable software, and office equipment for sustained periods of time. May include sitting for long periods of time, driving a vehicle, and working under challenging conditions.

WHAT WILL GIVE YOU THE COMPETITIVE EDGE: (Preferred Qualifications)
  • Experience with Accounts Payable processes and financial administration.
  • Experience working with vendors, including obtaining quotes, reviewing proposals, and managing vendor relationships.
  • Experience using EMAX or similar facilities/work order management systems.
  • Strong organizational and analytical skills with the ability to manage multiple priorities.
  • Experience maintaining inventory records and coordinating across multiple locations or facilities.
  • Ability to collaborate effectively with cross-functional teams, including Operations and Facilities.
