Role Overview:
We’re looking for a meticulous and reliable Business Operations Coordinator to manage financial and operational workflows across the label. You’ll oversee invoicing, payroll, royalty tracking, and company-wide expense + bandwidth reporting—ensuring our business runs efficiently and transparently.
You’ll report directly to the CEO and work cross-functionally with business affairs, A&R, and digital marketing teams.
This is a remote, part-time role (~15–20 hours/week) with the potential to transition into full-time based on performance.
Responsibilities:
• Handle all invoicing for contractors, creatives, and vendors
• Oversee payroll timing and classification across teams
• Manage royalty reporting, including splits, payouts, and statements for artists and producers
• Maintain and update project and company-wide P&Ls
• Track and flag daily spend across key departments (A&R, marketing, creative)
• Build and maintain a bandwidth reporting system, capturing team output across:
• A&R (e.g., artist reach-outs, scouting volume)
• Marketing (e.g., placements, campaign activity)
• Operations (e.g., expenses, vendor activity, software usage)
• Coordinate with external accountants for tax prep and compliance
• Keep all documentation organized for easy access, audits, and investor review
Qualifications:
• 2–4 years of experience in finance, royalties, or operations (entertainment/media preferred)
• Proficiency in QuickBooks, Google Sheets/Excel, and platforms like Gusto, Ramp, Deel, or similar
• Strong organizational habits and a detail-oriented mindset
• Experience with or interest in royalty accounting, music publishing, or distribution
• Clear communicator, highly accountable, and data-obsessed
