About the Job:

The Business Office Manager leads and provides operational directives for all Business Office activities related to claim management and collection of facility receivables, ensuring timely and efficient cash collections to support the facility's financial goals. Responsibilities include planning, developing, organizing, implementing, evaluating, and supervising business office activities such as financial counseling, billing, and collections across all service lines.

Salary Range: $67,000 - $81,000

Roles and Responsibilities:
  1. Explain benefits and establish contractual agreements and payment plans with clients and their families.
  2. Establish and maintain controls for all cash collected and posted in the client accounting system. Monitor bank activity and ensure revenue collection and deposits are timely.
  3. Lead a team through hiring, orientation, performance assessment, motivation, training, scheduling, and coaching to meet departmental goals and ensure effective operations.
  4. Prepare and maintain client statements and follow up as needed. Maintain client financial records.
  5. Monitor outstanding claims with managed care organizations (MCO) and other agents. Manage actions related to delinquent accounts and collection agencies.
  6. Monitor and report on key metrics such as cash collections, days outstanding, daily cash, unbilled amounts, denials, and daily census.
  7. Maintain effective communication with third-party insurance carriers to resolve issues affecting cash flow and client satisfaction.
  8. Select and monitor outside collection vendors. Review and reconcile agency reports and approve agency invoices.
  9. Review statistical reports to identify trends and operational deficiencies and implement corrective actions.
  10. Collaborate with Utilization Review and Admissions staff to ensure proper insurance authorization.
  11. Communicate effectively with leadership to ensure compliance with third-party guidelines. Coordinate with Centralized Business Office (CBO) and provide documentation as needed.
  12. Assist in audits and prepare special reports as necessary.
  13. Participate in month-end close processes.
Minimum Qualifications:
  • High School diploma or equivalent required. Some college coursework in Business Administration or related field preferred.
  • At least two years of Business Office experience, preferably in behavioral health, required.
