Business Office Manager Summary

As the Business Office Manager, you will support the facility by managing resident funds, billing, collections, accounts payable, and employee payroll and benefits. You will serve as a key contact for residents and staff.

Essential Job Functions:

  • Maintain organized records of admissions, discharges, deaths, transfers, and daily census data.
  • Explain financial responsibilities to residents and their families.
  • Assist in the resident admission process, including explaining rates and collecting initial payments.
  • Prepare and submit monthly billing for residents and insurance providers.
  • Follow up on Medicaid, Medicare, and other insurance billings and payments.
  • Manage accounts receivable and collections, pursuing overdue accounts diligently.
  • Ensure proper documentation for third-party billing.
  • Maintain financial records such as cash receipts, disbursements, accounts receivable/payable, payroll, and general ledger.
  • Prepare reports as required by management and regulatory agencies.
  • Support year-end audit and reimbursement activities.
  • Reconcile and manage patient trust funds quarterly.
  • Assist with onboarding new hires and bi-weekly payroll processing.

Office Manager Minimum Qualifications:

  • Experience in bookkeeping.
  • Proficiency with MS Office and financial systems.
  • Excellent customer service and communication skills.
  • Strong self-discipline and patience.
  • Motivated and capable of managing workload independently.
  • Genuine care for elderly and disabled individuals in a nursing facility.
