Job summary

Healthcare Alternative Systems (HAS) seeks a Business Office Clerk to handle daily financial transactions, maintain patient records, and support billing activities at our Chicago-area locations. The role requires bilingual English/Spanish communication, data entry, and strong organizational skills.

  • Typing speed of 40 wpm or more is preferred.
  • Proficiency with Microsoft Office suite and basic data entry.

Responsibilities

  • Greet visitors and direct them to the appropriate party or location.
  • Answer and screen calls, take accurate messages, and provide information.
  • Verify information and update records in the system per policy.
  • Process cash receipts/payments and input data into the billing system.
  • Prepare delinquent invoices and assist with collections.
  • Scan and file patient records and verify insurance in the system.
  • Support clinical staff and participate in meetings and events.

MISSION/VISIONHealthcare Alternative Systems (HAS) provides a continuum of multicultural and bilingual (English/Spanish) behavioral care and social services that empower individuals, families, and communities. HAS seeks to implement sustainable programs that benefit society by improving the well-being and recovery efforts of those individuals, families, and communities impacted by behavioral health problems. With twelve locations across the Chicagoland area, HAS provides services and resources to individuals at every stage in their behavioral/recovery journey so that they can be successful and become contributing members of their communities.JOB SUMMARYUnder the supervision of the Program Manager, the Business Office Clerk is responsible for conducting accurate financial transactions, maintaining clinical records in accordance with policy and procedures.ESSENTIAL DUTIES*10am-6pm Must be available on weekends as neededGreets all incoming individuals and directs them to the appropriate party or location.Answers and screens all incoming calls, directs them to the appropriate party and/or take accurate messages.Provides any person seeking information about the agency with accurate information.Receive or fax any necessary information.Handles money transactions and inputs data into system as per policy and procedures.Deliver cash receipts/payments to Armitage business office every Thursday.Follow-up on active patients’ accounts.Prepare delinquent billing invoices and enforce collection of outstanding payment balances.Processes any other billing.Performs all billing/collection functions in an efficient and timely manner, as per policy and procedures.Audit records in an efficient and timely manner.Provides support services to clinical staff as needed.File/scan patient clinical records into charts/SAMMS.Verify patients Insurance, via FHS system.Participates in regular agency and staff meeting and in agency fundraising efforts.Performs other duties as assigned by managers.REQUIRED SKILLS/ABILITIESPossession of a valid Illinois Driver license and willingness to use personal vehicle in course of employment.Must be able to communicate fluently in English/Spanish.Must be willing to work flexible hours.Must be willing to work at other locations, if necessary.Must have excellent organizational skills.Must have excellent grammar skills.Must have great mathematical skills.Computer literate; Microsoft office.Typing skills of at least 40 wpm.HAS requires all staff to work onsite.EDUCATION & EXPERIENCEMust have a high school diploma or GED.At least two (2) years of experience working in an office environment.PHYSICAL REQUIREMENTSSedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers.
