Job summary

PRG EMEA is seeking an Apprentice Business Administrator to provide professional, reliable, and welcoming administrative support at our London location. The role is office-based, focusing on front-of-house duties, greeting clients, and assisting the Location Manager with general admin.

Responsibilities

  • Act as the first point of contact for clients, visitors, suppliers and colleagues at the London location
  • Meet and greet visitors, manage appointments and direct visitors appropriately
  • Maintain a tidy, professional reception and meeting room environment
  • Prepare meeting rooms and arrange refreshments and equipment
  • Answer and direct incoming calls and respond to general enquiries
  • Manage post, deliveries and courier collections and maintain records
  • Support Location Manager with general admin and document handling
  • Coordinate diaries, meetings, room bookings and events
  • Draft routine emails, letters and meeting notes to a professional standard
  • Monitor stocks and place approved orders for office supplies
  • Maintain location records and contact lists
  • Assist with facilities admin and health and safety matters
  • Support induction of temporary visitors with welcome materials
  • Handle sensitive information in line with data protection requirements
  • Build relationships across the location and support other teams when needed

The role is primarily office-based and will support the smooth day-to-day running of the location, with particular responsibility for meeting and greeting clients and visitors, maintaining front-of-house standards and assisting the Location Manager with general office administration. Alongside their day-to-day duties, the apprentice will complete the required learning and development activities associated with the Business Administrator apprenticeship standard.

Key Responsibilities
Summary of Principal Duties and Responsibilities

  • Act as a professional and welcoming first point of contact for clients, visitors, suppliers and colleagues attending the 84 Marchmont Street London location.
  • Meet and greet visitors, confirm appointments, notify the relevant host and ensure visitors are directed or accompanied appropriately.
  • Maintain a tidy, organised and professional reception, meeting-room and communal office environment.
  • Prepare meeting rooms before use, including arranging refreshments, checking presentation equipment and ensuring rooms are reset afterwards.
  • Answer and direct incoming telephone calls and respond to general enquiries in a polite, helpful and timely manner.
  • Manage incoming and outgoing post, deliveries and courier collections, maintaining accurate records where required.
  • Assist the Location Manager with general administration, including document preparation, filing, scanning, photocopying, data entry and maintaining electronic and paper records.
  • Support the coordination of diaries, meetings, room bookings, appointments and location-based events.
  • Draft routine emails, letters, notices, agendas and meeting notes to an appropriate professional standard.
  • Monitor office stationery, kitchen and welfare supplies, place approved orders and help maintain appropriate stock levels.
  • Maintain office records and trackers, including visitor information, contact lists, equipment records and other location documentation.
  • Support the Location Manager with facilities-related administration, reporting maintenance, cleaning, security or health and safety matters promptly and following up as directed.
  • Assist with the induction of temporary visitors to the location, including preparing access information, workspaces and relevant welcome materials.
  • Handle personal, client and commercially sensitive information with appropriate confidentiality and in accordance with PRG's data protection requirements.
  • Build effective working relationships across the 84 Marchmont Street London location and provide reasonable administrative support to other teams when required.
  • Attend apprenticeship training sessions online, complete learning activities and workplace evidence within agreed timescales, and participate positively in progress reviews with PRG and the training provider.
  • Take responsibility for personal development by seeking feedback, applying learning and progressively working with greater confidence and independence.
  • Ensure that the Company's policies, rules, procedures and obligations are observed when carrying out all duties.
