Salary/Pay Rate/Compensation: 34.00 per hour
Shift: Monday-Friday, 8am-5pm
Location: Onsite in San Francisco
Contract Role: End of September to Mid December- possible for extension
The Company Business Administrator is a critical function that supports the daily operations of a leading pharmaceutical company in South San Francisco and our mission to develop a strong external innovation ecosystem.
- Strong organizational skills.
- Ability to manage and prioritize multiple tasks.
- Communicate professionally with internal and external stakeholders.
- Strong MS Office suite skills, especially in MS Outlook and MS Excel.
Specific duties of the role include:
- Administrative support to the Site Head (travel, expenses, scheduling, meetings, special projects, etc.)
- Scheduling of meetings with external parties, Company portfolio companies, and Company visitors.
- Supporting purchase order and vendor management for Company SSF operations, including creating new POs, enrolling new suppliers, reconciling/confirming invoices, and ensuring Company suppliers are paid on time
- Assisting with site events including setup, planning, scheduling, coordination of vendors, and checking in guests.
- Inventory management and ordering of site consumables supplies including office supplies, restroom consumables, and some laboratory consumables and equipment as directed by Company Sr. Operations Manager.
- Company portfolio company data management in JFORCE and other internal tools; updating Company systems and reporting tools as necessary. Collect and distribute news updates on resident and alumni Company companies.
- Supporting the onboarding process for new employees of Company resident companies by assigning new badge training and background check tasks, verifying new employee completion of tasks, data entry for Company internal tools, printing badges for new employees, and compiling/distributing welcome kits.
- Distribution of mail/packages and configuration/management of new mailroom software users. Scheduling and support for parcel pick‑ups (UPS, USPS, Fedex, etc).
- Conference room and break area upkeep, including kitchen consumables and kitchen equipment (coffee machines, refrigerator, microwave)
- Coordination and booking of conference rooms, offices, and shared equipment.
- Supporting Company customer experience by distributing customer request tickets to other Company staff based on request type and responsibilities of Company staff.
- Ensuring adequate signage for new Company portfolio companies including logos for suites and mailboxes and logo plaques for the company wall.
- Checking‑in site visitors using the iVisitor system; appropriately providing visitor badges and verifying government‑issued ID against iVisitor entries.
