Job Summary
The Building and Fleet Maintenance Specialist is responsible for maintaining the appearance and functionality of the main office by addressing minor daily maintenance and cleanliness tasks, while promptly identifying and reporting larger issues to the appropriate personnel for resolution. They perform day-to-day management and upkeep of an organization’s vehicles, including scheduling maintenance, coordinating repairs, conducting regular inspections, and ensuring all vehicles meet safety and operational standards. This includes maintaining accurate and up-to-date records of vehicle usage, service history, registration, and compliance documentation.

Fleet Key Responsibilities
- Prepares, enters, and maintains accurate records across fleet data systems.
- Works alongside Client Services to ensure fleet repairs and preventative maintenance are completed in a timely manner.
- Maintains cleanliness of and ensures preventative maintenance/repairs occur for loaner vehicles.
- Assists with regulatory fleet specific compliances, licensing, registration, and reporting requirements.
Main Office Key Responsibilities
- Sets up, resets, and cleans meeting and event spaces to ensure they are properly prepared for use.
- Performs routine office cleaning and light maintenance duties to maintain a clean and safe environment, including replacing light bulbs, minor repairs, touching-up painting, and unclogging sinks or toilets.
- Collects and removes trash from all designated areas daily.
- Conducts regular visual inspections of the interior and exterior of the main office building.
- Addresses issues immediately when possible or submits a help desk ticket for timely repairs.
- Orders and maintains inventory of supplies related to office cleaning and maintenance.
- Utilizes and maintains company tools and equipment properly.
- Documents and communicates in-progress or completed assignments effectively.
- Communicates with stakeholders about issues, resolutions, timelines, and outcomes.
- Collaborates on projects across departments as necessary.
- Ensures monthly safety drills and inspections are completed at both the Main Office and off-site maintenance office, and stocks First Aid Kits.
- Performs other duties as assigned.
Qualifications
Standard - Demands of the Job
- Able to perform functions described in job responsibilities.
- Able to lift 75 pounds and assist with lifting, transferring, or moving equipment up to 200 pounds with assistance.
- Able to drive company vehicles independently and may be exposed to extreme weather conditions.
- Able to operate email, use timeclock programs, respond to work orders, and operate general office equipment and computers.
- Able to attend work as required, including working a flexible schedule.
- Able to work in a fast-paced environment and manage competing priorities effectively.
Job Requirements/Desired Education and/or Experience
- HS Diploma or equivalent required.
- At least 1 year of experience in a janitorial or related cleaning role required.
- 1 year of maintenance-related experience preferred.
- Basic skills in Microsoft Office, especially email, required.
- Valid driver’s license required, with an acceptable driving record and valid insurance.
- Must be at least 18 years old.
