Position Overview
Our client, located in Greenwich, CT, is a boutique interior design firm specializing in high-end residential and commercial spaces. They are seeking a proactive, detail-oriented, and tech-savvy professional to oversee financial operations, office management, and billing processes.
This position is in-house three days a week (9 AM - 6 PM), with the potential to grow into a full-time role based on performance and business needs.
Key Responsibilities
- Manage and track financials, invoices, and expenses accurately using the company’s accounting system. Experience with Design Manager (DM) software is preferred; proficiency in QuickBooks or Netsuite is acceptable with training provided.
- Interface with DM Accounting to send out client invoicing and follow up on outstanding balances.
- Print receipts for credit card statements and file monthly.
- Create client hourly invoices via DM and Harvest.
Office Management and Administrative Support
- Oversee day-to-day operations of the design studio.
- Manage office supplies, vendor relations, and office maintenance.
- Assist with IT troubleshooting and coordinate with external support teams.
- Organize client procurement and vendor payments.
- Collaborate with the owner and design team to meet deadlines and ensure workflow efficiency.
Client and Team Collaboration
- Regularly interface with designers, clients, and vendors to keep projects on track financially.
- Proactively solve problems and maintain a positive team attitude.
- Other duties as assigned.
Qualifications And Skills
- Experience with accounting software such as QuickBooks, NetSuite, or similar for billing, invoicing, and expenses.
- Minimum 5 years of bookkeeping or office management experience, preferably in a small office setting.
- Strong organizational skills, attention to detail, and ability to meet deadlines.
- Ability to work independently and follow structured processes.
- Experience managing client invoicing and financial reporting.
- Excellent written and verbal communication skills.
- Problem-solving skills and proactive troubleshooting ability.
- Bachelor’s degree in Accounting, Finance, Business, or related field, or at least 7 years of relevant experience.
- Team-oriented, solutions-focused mindset, with an appreciation for a fast-paced environment.
