Job Title: Bookkeeper/Administrative Assistant
Reports to: Assistant Superintendent and Superintendent
Summary: The District Bookkeeper/Administrative Assistant will be responsible for maintaining all financial records for the school district as assigned in accordance with all applicable laws, policies and procedures as well as providing support to District Administration.
Conditions Of Employment
- Fiscal year (July–June), 248 days, 8 hours per day

Qualifications
- High School diploma/equivalent
- Experience in bookkeeping preferred, preferably in a public school setting
- Knowledge of general accounting principles
- Knowledge of general office equipment
- Ability to analyze financial data and reports
- Proficiency in Microsoft Office (Word and Excel) and/or Google Drive (Docs and Sheets)
- Internet and social media skills
- Strong organizational skills, technology skills and multitasking abilities
- Strong attention to detail
- Demonstrate excellent integrity, character and initiative, respect confidentiality
- Criminal justice fingerprint/background and Faith’s Law clearance
- Current physical and TB
Essential Responsibilities- Finance
- Accounts Payable:
- Coordinate payments for monthly accounts payable bills and semi-monthly payroll liability payments
- Prepare invoice payment documentation for Board of Education approval
- Manage District credit card procurement account
- Maintain oversight of all cardholders and credit card limits
- Maintain monthly tracking, communication and process payments for district procurement cards
- Download and import monthly transactions into Skyward and ensure reconciliations are completed
- Imprest Account:
- Prepare checks for all athletic officials
- Prepare checks as needed for day-of or short term turnaround needs
- Transfer funds from General Account to Imprest Account monthly
- Maintain accurate records of all invoices and purchase orders
- Prepare 1099s annually
- Accounts Receivable:
- Maintain, coordinate and record daily deposits and receipts
- Pull monthly deposit data from ISBE - FRIS System to record deposits into Skyward
- Post property tax distributions
- Post interest from General and Investment accounts
- Reconciliations:
- Assist with the reconciliation of all bank and financial statements, reports, and documents
- Record applicable items onto Treasurer’s Report
- Assist with the reconciliation of, and balancing of, flexible spending checking account and liability expense monthly
- Assist with student activity account recordkeeping and deposits
- Reconcile student activity flow through accounts
- Complete monthly transfer journal entries and any other necessary journal entries
- Annual Financial Audit:
- Prepare for and assist with annual financial audit
- Review Fixed Assets and complete submission to Industrial Appraisal
- Maintain a record and filing system of accounts payable to assist Assistant Superintendent and Auditors for the purpose of providing support and documentation on internal processes
- General Office
- Assist in the office as needed (answer calls, assist staff and visitors, and assist with general daily tasks)
- Interact positively and professionally with all District stakeholders
- Update Signer Cards for Bank Accounts when necessary
- Coordinate and oversee District Records Disposal Certificate and Shredding
- Oversee maintenance of postage meter
- Deliver correspondences to Regional Office of Education, County Clerk etc. as needed
- Coordinate the purchase of Business Office supplies
- Checks, envelopes, 1099 and W2 forms and other items as necessary
- Coordinate annual update of mileage reimbursement rate
- Protect the confidentiality of district and office records and information
- Adhere to the district’s expectations with regards to attendance and punctuality
- Perform other administrative duties as assigned by the Assistant Superintendent or Superintendent
