An extremely well known investment firm’s family office is growing and looking to hire a Family Office Bookkeeper to join its team.
This is a high-touch, highly trusted role reporting directly to the CFO and Controller, with direct interaction with family members, CPAs, outside advisors, vendors, and household service providers. The ideal candidate is polished, organized, detail-oriented, trustworthy, and comfortable handling confidential financial information across multiple entities.
Bill Payment & Expense Management
- Process and track invoices and payments across household, property, family office, and other operating expenses.
- Manage recurring and one-time payments across multiple vendors, accounts, residences, and entities.
- Accurately categorize expenses and maintain organized records of invoices, receipts, payment confirmations, and supporting documentation.
- Reconcile bank, credit card, and operating accounts and review household and corporate credit card activity.
- Monitor outstanding payments, account balances, and upcoming obligations while resolving discrepancies.
- Assist with cash flow tracking and financial visibility across multiple accounts and entities.
- Maintain accurate vendor records, including contact information, billing details, and payment instructions.
- Serve as a primary contact for vendor billing questions, payment confirmations, and discrepancies.
- Coordinate payment schedules with household staff, service providers, contractors, and other vendors.
Reporting & Tax Support
- Prepare recurring expense and financial reports and assist with budgeting for household, property, and operational expenses.
- Organize year-end financial information and documentation for CPAs, tax advisors, and outside professionals.
- Support 1099 preparation, W-9 collection, vendor reconciliation, and coordination with external accounting professionals.
Systems & Process Improvement
- Manage bill payment workflows through Bill.com and other payment platforms, including manually processed transactions.
- Maintain accurate, centralized financial records across multiple entities and identify opportunities to improve workflows and controls.
- Support implementation of systems and processes designed to improve efficiency, organization, and scalability.
Confidentiality & Professionalism
- Handle sensitive personal and financial information with the highest level of discretion and confidentiality.
- Maintain a polished and professional approach when interacting with family members, leadership, household staff, vendors, and outside advisors.
- Exercise sound judgment and ensure financial information and documentation are maintained securely and accurately.
Qualifications
- 3+ years of AP, AR, or Bookkeeping Experience
