The successful candidate will manage warranty documentation, claims, reconciliations, and communications across departments, with emphasis on accuracy and timely payments.

Qualifications

• At least 2 years of warranty administration in a dealership.
• BMW experience is highly preferred.
• Experience with CDK database systems preferred.
• Strong knowledge of manufacturer warranty policies, procedures, and audit requirements.
• Excellent communication, organization, and documentation skills.
• Proficiency with Word, Excel, Outlook, and Teams.

Responsibilities

• Review and book repair orders in compliance with BMW policy and procedure.
• Process all warranty claims promptly and accurately.
• Process all warranty paperwork to ensure proper documentation.
• Verify criteria required by manufacturer.
• Reconcile warranty receivables through the appropriate accounting schedule.
• Post credits and resubmit rejected claims promptly.
• Review warranty receivable schedules for timely payment.
• Follow up on payment of outstanding claims.
• Keep informed of factory recalls and bulletins.
• Assist with clerical tasks as directed by senior/fixed operations manager.
• Maintain professional appearance and neat work area.
• Performs other duties as assigned.

This role is responsible for managing the complete warranty lifecycle, from repair order booking to claim submission, reconciliation, and reporting, in strict accordance with BMW and company policies.

The ideal candidate is highly organized, detail-oriented, and excels in a fast-paced environment. This is a vital position that supports dealership operations and maintains manufacturer compliance across multiple departments.

Key Responsibilities

• Review and book repair orders in compliance of BMW Policy and Procedure
• Processes all warranty claims promptly and with accuracy
• Processes all warranty paperwork to ensure proper documentation
• Verifies criteria required by manufacturer
• Reconciles all warranty receivables through the appropriate accounting schedule
• Posts credits
• Resubmits all rejected claims promptly
• Review all warranty receivable schedules to ensure timely payment
• Follows up on payment of outstanding claims
• Keeps informed of all factory recalls and bulletins
• Assists with any clerical needs as directed by the senior manager or the fixed operations manager
• Maintains a professional appearance and a neat work area
• Performs other duties as assigned

Requirements

• Minimum 2 years of warranty administration experience in a dealership environment
• BMW experience is strongly preferred
• Prior experience with CDK database systems is preferred
