About this opportunity:

The Department of Biology is one of the largest and most academically active units within the College of Sciences and Humanities. Building on a long record of excellence in teaching, research, and service, the department provides rigorous, hands‑on programs that prepare students for success in the biological and biomedical sciences.

Biology hosts a robust graduate program and a large biomedical sciences undergraduate program. These programs require considerable communication and support for our students. The Department of Biology at Ball State University invites applications for a full‑time Program Coordinator to assist the Directors of these programs. This is a full‑time, 12‑month position with the potential to be hybrid.

Candidates for searches must have current authorization to be employed in the United States without employer sponsorship.

What you'll do and what you'll bring:
Position Function:

The primary responsibility for this position is to provide administrative support for the Directors of the Masters, PhD, and Biomedical Sciences Programs. This includes assisting with all aspects of the programs and performing other duties as assigned by the Department Chairperson.

Duties and Responsibilities:
Manage Communications
  • Respond to program inquiries and maintain student communication lists.
  • Assist in tracking applicants through university systems (i.e. Stellic).
  • Serve as a program communication liaison with faculty and administration.
Assist with event planning
  • Assist with organization/preparation of student orientation and faculty‑student mixer events.
  • Assist with organization and marketing of Fall Seminar Series.
Assist with program management
  • Assist with administration and tracking of TA evaluations.
  • Assign student offices and maintain an office space inventory.
  • Help to maintain program handbooks and websites.
  • Participate in professional training and development as necessary.
  • Act as back‑up for the program directors.
Manage applications and track student progress
  • Manage student degree audit requests and maintain the accuracy of digital degree records, including processing exemptions and resolving record discrepancies
  • Track applications.
  • Assist with tracking student progress through the programs (coursework, milestones, paperwork).
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
Minimum Qualifications:
  • Associate degree in Biology, biomedical science, or an equivalent combination of education and experience.
  • At least one year of office administrative/secretarial or related experience,
  • Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.
Preferred Qualifications:
  • Bachelor's degree in biology, biomedical science, or a related field from an accredited institution.
  • Experience with online portal software systems.
