Job summary

Heniff Transportation Systems is seeking a Billing Specialist to ensure the timely preparation and accuracy of customer invoices, following established billing processes and procedures, within a fast-paced office environment.

The role requires validating documents (POs, BOLs, scale tickets), addressing invoicing questions from customers, maintaining professional relationships with team members, and reporting to the Billing Manager while contributing to process improvements.

Qualifications

  • High school diploma or GED.
  • Minimum 2 years billing experience.
  • Experience using MS Word, Excel, Outlook, and Great Plains software.
  • Associate’s or Bachelor’s degree preferred.
  • Experience in Transportation with Chemical companies.

Responsibilities

  • The Billing Specialist will mail daily invoices.
  • Index documents timely and validate backup (POs, BOLs, scale tickets, freight paperwork).
  • Handle rejected invoices from customers regarding emails.
  • Review billing mailbox daily and maintain professional team relationships.
  • Answer billing questions from customers and perform additional duties as assigned.

Position Summary

The Billing Specialist is responsible for the timely preparation of customer invoices in accordance with the billing process and procedures.

Duties and Responsibilities
  • The Billing Specialist will be mailing of daily invoices.
  • Index documents timely.
  • The Billing Specialist will validate backup documents related to billing such as Purchase Orders (PO’s), Bills of Lading (BOL’s), scale tickets, freight paperwork, etc. against the order.
  • Manage rejected invoices from customers regarding emails.
  • The Billing Specialist will review billing mailbox daily.
  • The Billing Specialist will develop and maintain a professional relationship with team members.
  • Work with customers to answer billing questions.
  • The Billing Specialist will perform additional duties as assigned.
  • The Billing Specialist will report directly to the Billing Manager.
Requirements

Education and Experience:

  • High school diploma or GED
  • Minimum 2 years billing experience
  • Experience using s MS Word, Excel, Outlook, and Great Plains software

Preferred qualifications:

  • Associate’s or Bachelor’s degree
  • Experience in Transportation with Chemical companies

Physical Demands:

  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • May be required to stand, walk, sit, use hands to feel; reach with hand and arms, and stoop, kneel or crouch as needed.
  • Specific vision requirements include the ability to see at close range, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Ability to operate in a constant state of alertness and safe manner.

  • This position routinely uses office equipment such as computers, phones, photocopiers, file cabinets, and fax machines.

Salary Range

Disclaimer: The salary range for this position is $18.00 to $26.50 hourly. This range is based on market data and internal equity. The final offer will be determined by various factors, including the candidates experience, education, skills, qualifications, and geographic location.
