Job Summary

This position is responsible for preparing contract invoices, reviewing billing discrepancies, and ensuring accurate and timely billings to customers according to specifications. Interdepartmental collaboration, effective time management, and strong communication skills are essential. Candidates should have 1-3 years of construction billing experience.

Responsibilities
  1. Compile, track, and process monthly project invoices, including AIA style, standard invoices, and third-party system billings.
  2. Provide invoice support and respond to customer or general contractor inquiries to finalize invoices by month-end.
  3. Identify, prepare, and track project customer deposits, design, or specialty billings.
  4. Assist Senior Management with contract administration, cost control, and financial projections.
  5. Assist with lien waiver, preliminary notice, bond notice filings, or periodic billing, as required.
  6. Support invoice, project, or billing inquiries from Accounts Receivable, Project Management, or other stakeholders.
  7. Participate in monthly work-in-process and retention billing meetings.
  8. Work closely with Project Managers and Management to understand contract and billing terms and status.
  9. Compile project completion financial reports.
  10. Perform ad hoc analyses and reporting as needed.
Physical Requirements
  • Work is performed sitting/standing and interfacing with a computer.
  • Effective communication using speech, vision, and hearing is required.
  • Regular use of hands for grasping and manipulation.
  • Occasional bending, squatting, crawling, climbing, and reaching.
  • Ability to lift, carry, push, or pull up to 50 lbs occasionally.
Experience & Education

Minimum of 1-3 years of construction-related billing experience. An associate degree in accounting or business is preferred.
