Job description

About the Opportunity

Do you enjoy digging into financial data, resolving discrepancies, and making complex billing processes run smoothly? ComplyAuto is seeking a Billing & Revenue Operations Specialist to help ensure our customers receive accurate invoices, payments are applied correctly, and the data behind our subscription billing is reliable.

In this role, you'll manage daily billing and accounts receivable activities while keeping customer and contract records aligned between HubSpot and NetSuite. You'll work closely with Finance, Customer Success, and Sales to resolve account issues, support month-end close, and improve processes as our SaaS business grows.

This opportunity is ideal for someone who combines hands-on NetSuite experience, strong analytical skills, and a customer-focused approach with the judgment to investigate discrepancies and drive them to resolution.

What You'll Do

Manage billing and customer accounts

  • Review customer contracts, pricing, billing schedules, and dealership locations to determine appropriate billing treatment and resolve discrepancies before invoicing.

  • Generate accurate, timely invoices that reflect current contract terms, products, pricing, and subscription changes.

  • Set up and maintain consolidated billing for dealership groups with multiple locations.

  • Respond to customer questions about invoices, credits, payments, and account adjustments.

  • Process credits, adjustments, and write-offs within approved authority, escalating exceptions as needed.

Own accounts receivable activities

  • Monitor outstanding balances, follow up on overdue invoices, and maintain clear records of collection efforts.

  • Apply ACH, check, and credit card payments accurately across customer accounts.

  • Analyze aging reports and payment trends to identify collection risks and recommend actions.

  • Partner with Sales and Customer Success to resolve disputed balances and reach unresponsive customers.

Maintain accurate financial and system data

  • Verify that new customer contracts transfer correctly into NetSuite before the first invoice.

  • Keep customer, dealership group, and location records aligned between HubSpot and NetSuite.

  • Record cancellations, reactivations, subscription reductions, and added locations promptly.

  • Prepare recurring accounts receivable, payment tracking, and reconciliation reports.

  • Support month-end close by reconciling accounts receivable, investigating differences, and preparing supporting schedules and proposed journal entries for review.

Improve processes and support controls

  • Identify recurring billing issues, control gaps, and workflow inefficiencies, and recommend practical improvements.

  • Provide documentation for audits, tax filings, and compliance reviews.

  • Use sound judgment to prioritize account issues, resolve exceptions within delegated authority, and escape matters based on financial impact and customer circumstances.

What You'll Bring
  • Hands-on proficiency with NetSuite.

  • Experience using CRM software, specifically HubSpot, and maintaining accurate data between CRM and accounting systems.

  • Advanced Excel skills, including lookup functions, PivotTables, conditional formulas, and reconciliation of large datasets.

  • Proficiency with Google Sheets and Microsoft Office.

  • A solid understanding of accounting fundamentals, full-cycle accounts receivable, and subscription billing workflows.

  • Strong analytical skills and the ability to compare financial records with contracts, identify discrepancies, and determine appropriate corrections.

  • Clear communication skills and a professional, customer-focused approach.

  • Excellent attention to detail, organization, and the ability to meet close and reporting deadlines.

  • The ability to work independently, manage competing priorities, and protect confidential financial information.

  • Three to five years of experience in accounts receivable, billing, or general accounting.

  • Experience in SaaS or recurring subscription billing.

  • Experience with cash application, payment posting, and subledger reconciliation.

  • Experience supporting multi-location customer accounts or dealership groups.

  • Familiarity with automated subscription billing tools.

  • A bachelor's degree in accounting, finance, business, or a related field, or an equivalent combination of education, training, and relevant experience.
