Qualifications

• Experience with CRM tools such as Salesforce and financial reconciliation is desired.

Responsibilities

About This Role

The Kansas Child Care Training Opportunities (KCCTO) team, within the College of Health and Human Sciences, is looking to hire a Billing and Reconciliation Accountant. This position is responsible for managing the billing and financial reconciliation processes related to professional development offerings within the statewide workforce registry. This position ensures accurate tracking of incoming payments and outgoing partner reimbursements, generates billing and invoicing reports, and ensures all transactions follow established policies and procedures. The Billing and Reconciliation Accountant works closely with organizational leadership to support financial oversight and ensure compliance across registry operations.

Additional duties include, but are not limited to:

• Manage invoicing processes for programs and partner organizations using the statewide registry
• Reconcile financial data between the CRM and payment vendor systems to ensure all invoices, payments, and account records are accurate and current
• Analyze and evaluate financial data to identify trends, discrepancies, or billing issues; recommend and implement adjustments or process improvements
• Troubleshoot financial discrepancies and respond to billing inquiries from customers and organizations
• Maintain accurate documentation of financial transactions and update procedures as needed
• Respond to financial-related customer service inquiries via phone, email, or the registry system, providing clear and timely support
• Manage cases related to financial tasks, evaluating when escalation is needed
• Create, maintain, and suspend billing accounts according to established policy and procedure
• Support ongoing evaluation of financial processes by identifying common issues, analyzing case patterns, and contributing to data-driven solutions that improve financial workflows and user experience

(KCCTO) is a state-wide training office dedicated to providing quality, accessible, professional development opportunities to family childcare providers, childcare center staff, and other early education professionals throughout Kansas. KCCTO is a sponsored project of Kansas State University and the College of Health and Human Sciences. • Experience with customer relationship management (CRM) tools, such as Salesforce
• Strong attention to detail and ability to manage numerical data accurately
• Ability to manage multiple financial processes and competing priorities
• Proficiency in Microsoft Office and web-based applications
• Professional, courteous and responsive customer service skills
• Skilled at working independently as well as in a team Experience with Salesforce or similar CRM/enterprise platforms
