Position Summary

Our client, is seeking a highly analytical and detail-oriented Billing & Pricing Specialist to support pricing, billing, inventory reconciliation, and contract-related activities within a fast-paced distribution environment. This position is primarily focused on ensuring that Bill of Lading (BOL) pricing, supplier costs, customer pricing, inventory information, and margins are accurate before information flows through the billing process. The Billing & Pricing Specialist will review and price high volumes of BOLs, verify supplier invoices against expected costs, maintain pricing information, reconcile inventory-related data, and research discrepancies that could affect customer billing or company margins. This is not simply a transactional billing or data-entry position. The ideal candidate will be comfortable analyzing large amounts of information, identifying inconsistencies, investigating why discrepancies occurred, and taking ownership of resolving them. Advanced Excel skills and exceptional attention to detail are critical.

Key Responsibilities
  • Price Bills of Lading (BOLs) accurately by reviewing supplier costs, applicable pricing, quantities, contract terms, and supporting documentation.
  • Review supplier invoices against expected product costs and identify and resolve pricing discrepancies before they impact customer billing.
  • Monitor daily pricing changes across suppliers and terminals and ensure current pricing information is accurately reflected in company records and transactions.
  • Maintain and update product pricing and related pricing records to support accurate costing and customer billing.
  • Ensure product costs and pricing are accurately reflected to support appropriate customer margins and billing accuracy.
  • Review and reconcile inventory quantities, costs, pricing, and transaction activity, researching variances and correcting discrepancies.
  • Validate critical transaction information, including BOL numbers, invoice information, dates, quantities, costs, and pricing, to ensure accuracy before processing.
  • Investigate discrepancies involving pricing, supplier invoices, inventory, contracts, billing, and supporting documentation.
  • Track contract activity and utilization to ensure purchases and transactions are accurately aligned with applicable supplier contracts.
  • Coordinate and track forward contracts by reviewing activity and determining which purchases and transactions should be applied to specific contracts.
  • Support customer billing by ensuring the underlying cost and pricing information is complete and accurate before transactions move through the billing process.
  • Use Microsoft Excel to track and reconcile information, analyze pricing and inventory activity, investigate variances, and validate data accuracy.
  • Maintain organized and accurate records and supporting documentation related to pricing, BOLs, inventory, billing, and contracts.
  • Work cross-functionally with Billing, Accounting, and other internal teams to research and resolve pricing, inventory, contract, and billing discrepancies.
  • Assist with additional billing, accounting, and administrative responsibilities as needed.
  • Develop a strong understanding of the organization's pricing methodology, contract structure, and fuel purchasing processes, gradually assuming greater responsibility for pricing decisions and contract-related activities.
  • Support the continued development of the pricing function by analyzing pricing, contract activity, and customer margins and identifying issues requiring further review or action.
Required Qualifications
  • Bachelor's degree in Business, Accounting, Finance, or a related discipline.
  • Approximately 3-7 years of relevant professional experience in pricing, billing, inventory, accounting support, contract, commodity, or cost analysis.
  • Strong understanding of the relationship between cost, pricing, inventory, billing, and margin.
  • Experience reviewing detailed transactional information and identifying discrepancies or inaccuracies.
  • Advanced proficiency with Microsoft Excel, including: VLOOKUP and/or XLOOKUP, PivotTables, SUMIFS
  • Data reconciliation
  • Comparing information across multiple datasets
  • Identifying duplicates, variances, and discrepancies
  • Experience with Sage, Oracle, Ascend, iRely, or another ERP/accounting platform.
  • Exceptional attention to detail and demonstrated ability to maintain accuracy while processing high volumes of information.
  • Strong analytical and problem-solving skills with the ability to investigate issues rather than simply process transactions.
  • Previous experience with frequently changing product pricing and supporting customer-specific pricing.
  • Strong understand of Bills of Lading, with ability to review or price.
  • Ability to independently manage priorities, deadlines, and follow-up responsibilities.
  • Strong written and verbal communication skills.
  • Dependable work ethic with the ability to maintain accuracy and focus throughout the workday.
  • Ability to work onsite five days per week in Mundelein, Illinois.
Preferred Qualifications
  • Experience in manufacturing, chemical, commodity, wholesale, distribution, building materials, food, metals, or another inventory-intensive environment.
  • Previous experience with commodity and margin calculations
  • Experience with inventory reconciliation, inventory costing, or product-cost analysis.
  • Experience coordinating contracts or forward contracts.
  • Experience working in an environment with high transaction volumes and frequently changing costs or prices.
Ideal Candidate

The ideal candidate combines pricing knowledge, advanced Excel skills, inventory awareness, and exceptional attention to detail. This individual does not simply enter information into a system; they want to understand whether the information makes sense and investigate when it does not. Successful candidates will be comfortable working with large volumes of transactional data while maintaining a very high degree of accuracy. They will understand how incorrect product costs or pricing can ultimately affect customer billing and company margins and will take ownership of identifying issues before they move downstream. This individual should also have the desire and capacity to grow. The position is designed for someone who grow through the billing and pricing fundamentals and gradually assume broader responsibility for pricing decisions, contracts, and purchasing-related activities.
