WHAT WE NEED:

The Billing Manager will play a critical role in managing the end-to-end billing process, ensuring accurate and timely invoicing, revenue recognition, client communication, and internal coordination across multiple departments. This position requires someone who is not only detail-focused and analytical but also thrives in a fast-paced, collaborative, and creative environment.

WHAT YOU’LL DO:

• Manage and oversee all billing operations, including client invoicing, revenue tracking, and payment follow-up.
• Collaborate closely with project managers, producers, and account teams to ensure billing aligns with project scopes, timelines, and contracts.
• Review statements of work (SOWs), change orders, and client agreements to confirm correct billing terms and compliance.
• Maintain accurate client records in the agency’s project management and accounting software.
• Implement best practices for revenue recognition according to agency and GAAP standards.
• Respond to client inquiries regarding invoices and resolve billing discrepancies promptly and professionally.
• Develop and monitor internal billing workflows and processes to ensure efficiency and accuracy.
• Generate financial reports related to billing performance, outstanding receivables, and project profitability.
• Partner with finance leadership on month-end close and audits as needed.
• Lead and mentor junior billing or accounting staff if applicable.

WHO YOU ARE:

• Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
• 5+ years of experience in billing, accounting, or finance roles, preferably within a creative, media, or production environment.
• Strong knowledge of billing systems and project management tools (e.g., QuickBooks, NetSuite, Workamajig, Monday.com, Harvest).
• Excellent attention to detail and organizational skills.
• Strong interpersonal and communication skills for effective collaboration with creative and client-facing teams.
• Ability to manage multiple projects, deadlines, and stakeholders simultaneously.
• Familiarity with contract terms, SOWs, and revenue recognition principles.
• Experience in a creative agency or production studio setting.
• Understanding of time-tracking and project-based billing structures (e.g., fixed fee, retainer, T&M).
• Proficiency with Excel and financial reporting.
• Experience with international billing, tax compliance, or multi-currency invoicing.
