About The Role

We are seeking a Billing Coordinator to join our growing team at Mod Op. This position serves as a key liaison between the finance department, project teams, and executive leadership, ensuring accurate project accounting, timely data entry, and efficient financial processes. The ideal candidate is detail-oriented, responsive, enjoys working with numbers, and eager to learn.

Key Responsibilities
  1. Liaise between finance and project teams to ensure proper accounting of projects, including revenue and expense recognition and timing.
  2. Act as the bridge for project updates and financial workflows among leadership, project teams, and finance.
  3. Monitor and report on project scope, usage, and remaining budgets/hours, maintaining monthly reports for finance and leadership.
  4. Facilitate accurate revenue and expense accruals for large projects to ensure consistent month-over-month results.
  5. Ensure projects remain profitable and on track, with monthly review meetings with leadership.
  6. Accurately enter sales orders, client invoices, purchase orders, and vendor bills, and maintain client, project, and vendor records in financial systems.
  7. Create, review, and reconcile purchase orders and vendor bills for accuracy and alignment with budgets.
  8. Monitor timesheets for timely and accurate input, correcting errors as needed.
  9. Manage project closeout processes, ensuring all financial and administrative tasks are completed.
  10. Support revenue management by overseeing changes, process revenue adjustments, and developing accurate revenue projections.
Key Qualifications
  • Strong understanding of financial processes, including project accounting, accruals, and reconciliation.
  • Excellent attention to detail and accuracy in data entry and reporting.
  • Proficiency with financial systems, project monitoring tools, and spreadsheets.
  • Experience with timesheet systems, purchase workflows, and vendor bill reconciliation.
  • Strong organizational and time management skills to prioritize tasks and meet deadlines.
  • Effective communication skills for cross-team and stakeholder alignment.
  • Previous experience in billing coordination, finance support, or project management is preferred.
