We are seeking a proactive Billing Coordinator to ensure the accuracy and efficiency of our construction project billing processes. This critical role requires someone who is adept at navigating complex documentation, collaborating with a team, and thriving in a fast-paced environment.
Key Responsibilities:
- Documentation Mastery: Scrutinize change order documents to guarantee accurate setup and adherence to billing specifications.
- Invoice Generation & Management: Craft detailed monthly requisition-style invoices, payment applications, and retention billings, backed by thorough supporting documentation and in alignment with client billing agreements.
- Accuracy Champion: Rigorously review all invoices before submission to uphold the highest standards of accuracy.
- Team Collaboration & Problem Solving: Partner with branch colleagues to swiftly resolve billing discrepancies and address disputes.
- Compliance & Reporting: Execute monthly Sarbanes-Oxley compliance tasks and generate customized reports as requested; fulfill other duties as assigned by management.
- Support & Flexibility: Provide essential backup support to fellow Billing Administrators as needed.
- Timely Execution: Adhere strictly to the demands of the fiscal calendar's monthly closing schedule.
- Adaptability & Availability: Be prepared for overtime during peak periods.
- Proactive Communication: Demonstrate initiative and work closely with other departments to communicate and navigate contract-related challenges.
Qualifications:
- Work Authorization: Must be legally authorized to work in the United States without requiring sponsorship, now or in the future.
- Educational Foundation: An Associate's degree in Business or Accounting is preferred, or equivalent practical experience.
- Construction Billing Expertise: Experience with AIA requisition billing is highly desirable.
- Industry Background: Prior administrative experience within the construction sector is a plus.
- Technical Proficiency: Skilled in Microsoft Word and Excel, with a proven ability to quickly learn new systems.
- Analytical Skills: Strong critical thinking and organizational abilities are essential.
- Precision & Problem Identification: A keen eye for detail and the capacity to identify inconsistencies, pinpoint potential issues, and develop effective solutions.
- Self-Motivation: Highly driven and capable of working independently.
