Job summary

Mac Haik Austin is hiring a Billing Clerk / Tear Down Clerk to accurately process paperwork from retail sales, ensure all documents are complete, and forward funding packets to lenders promptly.

Ideal candidates are computer literate with basic accounting knowledge, a high school diploma, and authorization to work in the USA. CDK software or dealership experience is a plus. We offer medical/dental/vision insurance, a 401(k) with company match, and a 5‑day work week.

Responsibilities

• Process all paperwork from retail sales in accordance with lender and dealership guidelines.
• Verify complete documentation and forward funding packets to lenders.
• Post vehicle sales and payments; maintain logs and reports.
• Route documents to the title clerk and coordinate with finance.
• Maintain accurate records and provide administrative support as needed.

Billing Clerk / Tear Down Clerk

The Billing Clerk position accurately processes the required paperwork from retail sales and records the transaction. The Billing Clerk is responsible for ensuring the appropriate documentation is retained for all sales and that the funding for sales is completed in a timely manner.

Essential Duties and Responsibilities

• Process all paperwork from retail sales in accordance with lender and dealership guidelines.
• Ensure all vehicles retail sales have complete documentation and notify the appropriate personnel if a deal is missing required paperwork, documents or authorizations and verify VIN.
• Prepare funding packet according to lender specifications and promptly forward for funding.
• Ensure payoffs are made timely.
• Post vehicle sales and purchases.
• Process payments received for new and used car deals and dealer trades.
• Process pay-off checks for trade-ins and mail to appropriate financial institution in a timely manner.
• Process dealer trades in and out.
• Route paid deals to the title clerk for processing as soon as money is received in house.
• Maintain reports and/or logs of new and used deal activity.
• Provide administrative support to management, other departments and employees as needed.
• Adhere to consistent and reliable work schedule.
• Demonstrate ethical business practices and integrity in all interactions to uphold the Mac Haik Automotive group brand.
• Effectively perform duties and responsibilities in a safe manner.
• Other duties as assigned.

Qualifications

• Computer literate; accurate with 10 key pad and typing
• Basic working knowledge of accounting
• High school diploma or equivalent required
• Successful completion of pre-employment screening
• Authorization to work in the USA
