Wiley, a leading law firm in Washington, DC, is seeking a Billing Assistant to support our Accounting and Finance department. The Billing Assistant provides high level billing support to the firm’s attorneys and supports the client invoice lifecycle. Primary responsibilities include collaborating with the Accounting and Finance department, Administrative Support department, and attorneys to support the full client invoice lifecycle; document client or matter-specific procedures; review and conform edits to meet client-specific guidelines; and analyze, coordinate, and resolve billing issues, including appropriate communications with involved parties.

This position is eligible to participate in the firm's flexible work program.

RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Serves as a liaison between billing attorneys (and their assigned administrative assistants) and the Accounting and Finance department throughout the full client invoice lifecycle
  • Reviews and verifies the accuracy of prebills, including rerunning prebills to account for late released time
  • Distributes prebills to attorneys in accordance with preferred processes
  • Interprets and processes revisions and comments (i.e., editing narratives, transferring time, splitting invoices, writing down time, writing off time, etc.) to prebills
  • Prepares, finalizes and transmits invoices to clients, including preparing cover letters as needed
  • Tracks and documents client or matter-specific billing procedures, including prebill distribution preferences, invoice deadlines, billing contacts, retainers, fixed fees, special rates, fee discounts, invoice submission dates, payments, etc.
  • Collaborates with key internal teams and clients throughout the full billing cycle, including status of invoices, billing rates, special discounts, standardized reports, troubleshooting billing requests, etc. Submit e-Bills, follow-up on status, and adjust as needed
  • Communicates with clients regarding outstanding invoices, inquiries about invoices, changes to billing contacts, revisions to billing procedures, etc.
  • Provides support with the annual rate reports and updating the firm database/electronic billing sites to reflect changes

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to communicate professionally and effectively, both in oral and written form

  • Ability to multi-task, prioritize/coordinate deadlines, and track progress of tasks
  • Ability to think critically and analytically in a deadline-driven environment
  • Maintain confidentiality of work-related information and materials
  • Ability to organize and prioritize projects and deadlines
  • Ability to establish and maintain effective working relationships in or out of a team environment
  • Proficiency in office productivity tools (Outlook, Word, Excel, PowerPoint, and Adobe Acrobat), law firm timekeeping/billing programs, and document management systems.
  • Possess the attitude of collaboration and sharing
  • Willingness to learn and adopt new methodologies
  • Flexibility to work overtime on an as-needed basis

EDUCATION AND EXPERIENCE:

  • Minimum of two (2) plus years of related accounting experience
  • Prior experience in a law firm preferred or professional services environment preferred

WORK ENVIRONMENT:

  • Position operates in a professional office environment which is usually quiet to moderate
  • Position routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets
  • Position requires that the employee be able to multi-task in a fast-paced work environment

PHYSICAL DEMANDS:

  • This position is primarily a sedentary position. However, some duties and responsibilities may require the employee to lift files, open filing cabinets, bend or stand, reach with arms and hands, climb or balance, occasionally move about to access office equipment, file cabinets, etc.
  • May require employee to carry or lift items weighing up to 10 pounds

The base salary for this position is $60,000 annually. Actual salary will be determined based on skills, experience (to the extent relevant) and other job-related factors, consistent with applicable law.
