Job description

Electronic Billing Assistant

Cooley is seeking a Electronic Billing Assistant to join the Accounting team.

Position summary: Under the direction of the Electronic Billing Manager, the Electronic Billing Assistant is responsible for providing routine administrative and basic electronic billing support to the Electronic Billing Specialists and department. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Upload invoices
  • Map clients. More specifically, when clients elect to receive their monthly invoices thru an electronic billing portal, this role will match internal client number thru firm assigned 3E to external client reference number to ensure records are synchronized
  • Electronically file notification emails (invoice status with paid, approved)
  • Create new ebillling accounts for Client Account Specialists and Collections Specialist for access
  • Assist with project, data entry and system updates
  • Submit ebilling vendor invoices to AP for processing via ChromeRiver
  • Follow up on emails (e.g., matter ids to be opened in e-billing portals, timekeeper rate approvals and approvals to accept billing guidelines (from Office of General Counsel/BIC)
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Strong Excel skills
  • Available to work overtime, as required

Preferred:

  • Bachelor's degree
  • Prior experience (e.g., billing and/or accounting)
  • Prior law firm experience
  • General knowledge of accounting concepts
  • Previous 3E and electronic billing experience
  • 10 key by touch

The expected hourly pay range for this position with a work schedule of 37.5 hours per week is $29.25 - $36.50 ($57,037.50 - $71,175 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
