Job summary

MAI Wealth Management, Inc. is seeking a Bill Pay Specialist in Los Angeles to manage invoice processing, data entry, and vendor communications, delivering a precise and timely accounts payable workflow.

You will verify invoices, secure approvals, reconcile statements, and provide weekly status updates, while upholding internal controls and offering a white-glove level of service to clients.

Qualifications

• Attention to detail to verify data input and prevent errors.
• Organizational skills to manage multiple accounts and track bills.
• Clear and effective communication with vendors, clients, and internal stakeholders.
• Basic understanding of accounting principles is beneficial.
• Familiarity with Bill.com is beneficial.
• Experience with QuickBooks Online is preferred.

Responsibilities

• Invoice Processing: Receive, review, and verify incoming vendor invoices for accuracy and secure approval for payment.
• Data Entry & Record Keeping: Enter data into the bill pay system and maintain accurate records of accounts payable transactions.
• Reconciliations: Reconcile vendor statements against company records to identify and resolve discrepancies.
• Communication: Liaise with vendors, clients, and internal departments to resolve billing issues, answer questions, and keep processes running smoothly.
• Compliance: Adhere to company policies, procedures, and internal controls to help prevent errors and fraud.
