Job summary

Topcon Healthcare seeks a Sales Operations Specialist to support sales performance, order management, and customer satisfaction across Canada. Fluency in English and French is required to communicate with customers and internal teams.

You will manage quotes and orders, validate pricing, analyze backlog, and collaborate with Sales, Finance, Operations, and Logistics. Familiarity with ERP/CRM systems (SAP, Salesforce) and Excel is preferred.

Qualifications

• 1–2 years of experience in Sales Operations, Order Management, Customer Support, or related function preferred.
• Fluency in English and Canadian French (spoken and written).
• Ability to communicate professionally with French-speaking customers and Canadian sales teams.
• Familiarity with ERP and CRM systems is preferred; SAP or Salesforce is an asset.
• Working knowledge of Excel and basic reporting tools.
• Excellent organizational skills and attention to detail.

Responsibilities

• Prepare and manage customer quotes and orders in accordance with company policies and pricing structures.
• Process customer orders including equipment, parts, and special-order requests.
• Review and validate order details including pricing, configurations, payment information, and shipping requirements.
• Help identify and resolve order-related issues such as pricing discrepancies and fulfillment delays.
• Collaborate with internal teams to ensure accurate order entry and timely delivery.
• Support industry trade shows and sales events.
• Support strategic and national accounts through order coordination and follow-up.
• Assist with cross-functional activities related to installations, training schedules, and system deliveries.
• Maintain reports and track sales projects, backlog activity, and opportunities as assigned.
• Provide professional and timely support to customers and sales representatives via phone and email in English and French.
• Maintain proactive communication regarding order status, delivery timelines, and issue resolution.
• Escalate sales and service issues appropriately with a customer-focused approach.
• Work closely with Sales, Finance, Purchasing, Operations, and Logistics to support daily activities.
• Generate and analyze order and backlog reports.
• Learn and apply SOPs and best practices for order processing and reporting.
• Support CRM and ERP system initiatives to improve workflows.
