Responsibilities

  • Greet all visitors in a professional, welcoming manner and manage the guest sign-in/out process.

  • Serve as the primary bilingual contact, assisting Spanish-speaking families, visitors, and students.
  • Process, sort, and distribute incoming/outgoing mail; manage packages and coordinate vendor relations for equipment and supplies.
  • Monitor enrollment emails and respond promptly with information requested.
  • Oversee student transportation requests and coordinate with vendors to resolve issues.
  • Communicate daily attendance entries to staff and maintain confidentiality of student records.
  • Monitor and distribute supply inventory and assist with special projects as needed.

ESSENTIAL FUNCTIONS
  • Visitor Relations: Greet all incoming visitors in a professional, welcoming manner, determine the purpose of their visit, and manage the guest sign-in/out process.
  • Communications: Operate a multi-line telephone system to answer, screen, and route calls, take detailed messages, and schedule administrative appointments.
  • Bilingual Liaison: Serve as a primary bilingual contact, using English and Spanish fluency to assist Spanish-speaking families, visitors, and students.
  • Office Logistics: Process, sort, and distribute incoming/outgoing mail, manage packages, and coordinate office vendor relations for equipment and supplies.
  • Enrollment Support: Monitor and respond promptly to enrollment emails and requests for additional school information.
  • Transportation Coordination: Oversee student transportation requests and collaborate with vendors to resolve route and logistical issues.
  • Attendance & Records: Communicate daily attendance entries with staff and maintain strict confidentiality and integrity of student records.
  • Inventory & Support: Monitor, manage, and distribute supply inventory, coordinate facilities requests with maintenance, and assist with special projects and other duties as assigned.
QUALIFICATIONS
  • Education: High school diploma or GED required; Associate's degree preferred.
  • Bilingual Skills: Fluency in both written and verbal English and Spanish (Required).
  • Experience: 1 - 3 years of professional office or administrative support experience.
  • Technical Skills: Proficient in Google Workspace, basic office equipment (copiers, scanners, multi-line phones), and adaptable to learning new school systems.
  • Communication: Exceptional written and verbal communication skills, including spelling, grammar, punctuation, and high attention to detail.
  • Interpersonal Skills: Ability to work with a wide range of individuals and interact cheerfully, supportively, and professionally with staff, students, and visitors.
  • Background Check: Successful completion of a criminal background check (Required).
COMPENSATION & BENEFITS
  • Position Type: Full-Time Staff
  • Classification: Exempt
  • Working Hours: 9:00 AM - 5:00 PM, Monday - Friday
  • Report To: Front Office Manager

PHYSICAL REQUIREMENTS & EXPECTATIONS
  • Punctuality: Ability to report to work on a regular and punctual basis, Monday - Friday, from 9:00 AM - 5:00 PM.
  • Multi-Tasking: Ability to manage and prioritize multiple tasks, work independently, and perform routine matters with minimal direction.
  • Stress Management: Ability to think clearly in stressful situations, maintain a calm, cheerful, and welcoming demeanor, and perform under pressure.
  • Physical Ability: Ability to stand for up to ⅔ of the work day and lift up to 40 lbs.
  • Work Environment: Comfort working in a dynamic school front office with an above-average level of noise.
  • Flexibility: Willingness to work occasional late nights (especially during peak enrollment periods) and some weekends as required.
