Qualifications

  • Associate's degree in Human Resources, Business Administration, or related field preferred.
  • 2+ years of HR, recruiting, or administrative experience preferred.
  • Bilingual in English and Spanish (written and verbal) is required.

Responsibilities

  • Coordinates onboarding for all newly hired employees from offer acceptance through their first day.
  • Serves as the primary point of contact for new hires and provides support throughout the onboarding process.
  • Schedules and tracks pre-employment requirements (drug screens, background checks, MVR).
  • Verifies employment eligibility documentation and processes through E-Verify.
  • Assists with onboarding paperwork (I-9, W-4, direct deposit, benefits enrollment).
  • Conducts weekly new hire orientations in Spanish as needed.
  • Maintains HRIS/onboarding data with accuracy and confidentiality.
  • Performs general HR administrative duties and assists with process improvements.

Job Summary

The Onboarding Specialist works closely with Recruiting, hiring managers, and the Human Resources team to ensure a seamless onboarding experience and compliance with all pre-employment and new hire processes. This position reports directly to the Recruitment Manager.

Duties/Responsibilities
  • Follows Mission, Vision, Values
  • Coordinates onboarding for all newly hired employees from offer acceptance through their first day.
  • Guides new hires through the onboarding process and ensures all required employment documentation is completed accurately and on time.
  • Serves as the primary point of contact for new hires, answering questions and providing support throughout the onboarding process.
  • Schedules and monitors all pre-employment requirements, including drug screenings, background checks, and Motor Vehicle Record (MVR) requests.
  • Verifies all required employment eligibility documentation is received and accurately completed to process new hires through E-Verify.
  • Assists new hires in completing and understanding all onboarding paperwork, including Form I-9, Form W-4, Direct Deposit Authorization, benefits enrollment, and other required onboarding documents.
  • Conducts weekly new hire orientations in Spanish as needed to ensure Spanish-speaking employees fully understand company policies, procedures, safety requirements, and available benefits.
  • Maintains employee information within the HRIS and onboarding systems, ensuring data accuracy and confidentiality.
  • Coordinates onboarding schedules with hiring managers and department leaders.
  • Performs general administrative duties to support Human Resources operations, including maintaining records, preparing documents, and scheduling meetings.
  • Assists with HR projects and process improvements related to onboarding and employee experience.
  • Provides verbal and written translation between English and Spanish as needed.
  • Performs other duties as assigned.

Education and Experience
  • Associate's degree in Human Resources, Business Administration, or related field preferred.
  • (OR) 2+ years of Human Resources, recruiting, or administrative experience preferred.

  • Occasional standing and walking within the office environment.
  • Ability to lift and carry up to 15 pounds.
