You will handle travel logistics, PO processing, and releases’ assets while maintaining calendar accuracy and coordinating meetings with internal and external stakeholders.

Qualifications

• 3 years of experience in administrative work.
• Excellent communication skills developed through customer service.
• Fully bilingual in English and Spanish, written and oral.
• Proficient with MS Office (Outlook, Word, Excel, PowerPoint).
• Knowledge of Latin music and its players.
• Adaptability to fast-paced environments.

Responsibilities

• Own general administrative duties and support the marketing team.
• Process PO requests, production deadlines, and scheduling.
• Coordinate artist travel, events, and promotional agendas.
• Ensure invoices and payments are up to date with finance.
• Troubleshoot issues with the tech support team as needed.
• Manage meeting notes, agendas, and internal/external communications.
• Prepare release materials and keep asset folders organized.
• Coordinate in-office visits, room bookings, and follow-up emails.
• Maintain department calendars and hospitality for visitors.
• Support multiple roles within the team as needed.
