This position provides support through administrative and clerical duties for the assigned department. Tasks are carried out under close supervision, and the individual must perform each essential duty satisfactorily. Reasonable accommodations may be made for individuals with disabilities.
Receives direct supervision from HR Assistant Manager and functional supervision from Safety Supervisor. Does not supervise others.

Required:
- Minimum of two (2) years of administrative experience
- Advanced English communication skills (reading, writing, speaking)
- Intermediate Spanish skills
- Effective, professional, friendly communication
- Intermediate computer skills (Microsoft Outlook, Excel, PowerPoint)
- Excellent time management and organization skills
- Ability to prioritize, multi-task, and work independently
- Strong decision-making abilities
- Ability to establish effective relationships
- Flexibility to work extended hours, holidays, and weekends
Preferred:
- Experience with DOT, FRA, OSHA, USCG, CBP regulations, HAZMAT, Workers' Compensation, Ergonomics
- High School diploma or equivalent
Primary:
- Answering and directing calls, handling administrative requests
- Scheduling appointments and meetings, taking minutes
- Managing digital records and preparing reports
- Supporting visitors and acting as liaison with vendors and officials
- Maintaining a safe and clean work environment
- Supporting other departments as needed
- Performing additional tasks as assigned
Includes typical office activities, occasional outdoor work, and physical tasks such as lifting up to 20 pounds. Must adhere to safety policies, report hazards, and wear PPE as required.
Primarily indoor office environment; occasional outdoor or warehouse work with environmental exposure. Noise level is usually low to moderate.
