Position Summary:

This position is responsible for providing support in the performance of various administrative and clerical duties for the assigned department. Tasks should be carried out under close supervision. To succeed, the individual must perform each essential duty satisfactorily. The requirements listed below represent the knowledge, skills, and abilities needed. Reasonable accommodations may be made for individuals with disabilities.

Supervision:

Receives direct supervision from the HR Assistant Manager and functional supervision from the Safety Supervisor as needed. Does not supervise others.

Geographic Region:

Applicants outside the specified region will not be considered.

Qualifications:

Required:

  • Minimum of two (2) years of administrative experience.
  • Advanced communication skills in English (read, write, speak).
  • Intermediate communication skills in Spanish (read, write, speak).
  • Effective, professional, and friendly communication in a business environment.
  • Intermediate computer skills (Microsoft Outlook, Excel, PowerPoint, etc.).
  • Excellent time management and organizational skills.
  • Ability to prioritize, multi-task, and work independently.
  • Strong decision-making skills.
  • Ability to establish and maintain effective relationships with vendors and colleagues.
  • Flexibility to work extended hours, holidays, and weekends as needed.

Preferred:

  • Experience with DOT, FRA, OSHA, USCG, CBP regulations, HAZMAT, Workers' Compensation, Ergonomics.
  • High School diploma or equivalent.
Responsibilities:

Primary duties include:

  • Answering and directing calls, handling administrative requests, and queries from supervisors and managers.
  • Scheduling appointments, meetings, and taking detailed minutes, including safety meetings.
  • Managing digital records, invoices, employee files, inspections, and logs.
  • Assisting in preparing reports related to fire suppression, environmental, claims, audits, and facilities.
  • Supporting visitors and acting as a point of contact for vendors and officials.
  • Maintaining a clean and safe work environment.
  • Supporting other departments as needed.
  • Performing additional tasks as assigned.
Physical and Safety Requirements:

Must be able to perform physical tasks, including lifting up to 20 pounds, and adhere to safety protocols, including PPE usage and hazard reporting.

Work Conditions:

Primarily indoor office work, with occasional outdoor or warehouse environment exposure. Noise levels are usually low to moderate.
