We are seeking a Bid and Proposal Specialist to join our India-based team, supporting the bid management process for U.S. State and Federal government contracts. The ideal candidate will have at least 3 years of experience handling U.S. bid portals, with expertise in portal navigation, identifying opportunities, qualifying, tracking, and proposal submissions. As part of the India operations of a U.S.-headquartered company, you will collaborate with cross-functional global teams to ensure timely, accurate, and competitive bid submissions. This role requires strong analytical, organizational, and communication skills to manage bid opportunities efficiently.
Responsibilities:
- Manage and navigate various State and Federal bid portals, including registration, identification of opportunities, tracking, and submissionprocesses.
- Maintain an organized bid pipeline, prioritizing opportunities based on deadlines and business goals.
- Review and analyze RFPs, RFQs, and other solicitation documentsto determine bid eligibility and strategic fit.
- Consolidate and track bid opportunitiesbased on due dates and priority levels.
- Quickly understand the complexities of proposals and procurement requirementsto make informed bid/no-bid decisions.
- Develop and format bid responses, ensuring clarity, compliance, and alignment with RFP requirements.
- Create compelling written content, including executive summaries, responses, and supporting documentation.
- Utilize MS Office tools (Excel, Word, PowerPoint), SharePoint, MS Teams, and OneDrivefor document management and collaboration.
- Translate complex data into visual formats such as charts, graphs, and infographicsto enhance proposal presentations.
- Ensure accuracy and consistencyin all written materials by proofreading for grammar, sentence structure, and formatting.
- Present bid pipeline and opportunity tracking in a dashboard formatfor leadership visibility.
- Work collaboratively with internal teams to gather necessary information and meet tight deadlines.
- Support post-submission activities, including follow-ups, compliance checks, and audit documentation.
- Exhibit strong teamwork, adaptability, and a proactive approachto bid and proposal management.
Qualifications:
- Minimum 3 years of experiencehandling State and Federal bid portalsand procurement processes.
- Strong understanding of government contracting, bid documentation, and submission requirements.
- Exceptional writing and editing skills, with the ability to convey complex ideas clearly and concisely.
- Ability to interpret RFP requirementsand craft responses that align with evaluation criteria.
- Proficiency in MS Office Suite, SharePoint, OneDrive, and collaboration toolslike MS Teams.
- Experience in data visualization, translating proposal content into charts, graphs, and visuals.
- Highly organized, deadline-driven, and detail-oriented, with the ability to manage multiple bids simultaneously.
