Job summary

Qualifications

• Associate degree in Business, Construction Management, Engineering Technology, or related field preferred.
• 2–5 years of construction administrative, estimating, project controls, or procurement experience preferred.
• Proficiency with Microsoft Office (Excel, Word, Outlook) and Adobe Acrobat.
• Proficiency with Procore preferred.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Ability to maintain confidentiality.
• Attention to detail and accuracy.
• Ability to prioritize multiple deadlines in a fast-paced environment.
• Knowledge of construction drawings, specifications, and bid processes preferred.

Responsibilities

• Provide administrative and coordination support to the Estimating Department throughout the bidding process.
• Coordinate bid schedules, proposal due dates, and estimating activities.
• Maintain bid logs, estimating calendars, and opportunity tracking reports.
• Distribute ITBs to subcontractors and suppliers.
• Track subcontractor and vendor quotations and follow up to ensure timely responses.
• Notify subcontractors and vendors of final Bid/Quote disposition as necessary.
• Organize and maintain drawings, specifications, addenda, and contract documents.
• Prepare bid forms, proposal packages, qualifications, and submission documents.
• Coordinate pre-bid meetings, site visits, and internal bid review meetings.
• Assist estimators, document management, and historical cost information.
